You can create a pre-admission patient in the EMR and run an eligibility check on the patient's insurance prior to admitting the patient. This process is typically used by organizations that do not have the Kipu CRM.
Pre-Admission Workflow
Let's review the process for creating a pre-admission chart and running a quick eligibility check.
- To create a new patient, click + New on the Patients tab.
- Enter the patient's first name, last name, and select a Location. This can be changed later if needed.
- Click Add patient.
- Next, if the subscriber will be Self, make sure you enter the patient's Address and Birth Date at a minimum to be able to run an Eligibility check.
- Click Manage Insurance. For full instructions on adding insurance, click here.
- Click on [Create] under Primary to select the patient's insurance company.
- Choose the Primary Payer from the drop-down and click Select.
- Verify the selections for Home, Medical, and Behavioral Plan Payer. To document a carveout, follow these instructions.
- Complete the Policy Holder tab, at a minimum, please include Insurance ID and Patient Relationship to Insured.
- If the subscriber relationship is not set to "Self", please ensure the Subscriber's First Name, Last Name, Address, City, State, Zip, and Phone fields are completed for accurate billing.

To automatically run a quick Eligibility Check, toggle on Verify Eligibility on Save.
- Click Save.
- Eligibility will automatically be run and returned on the Eligibility tab.
- To document benefits more fully, use the Benefits tab to record the results of a manual benefits check.
Eligibility
Once you've added an insurance to the patient chart, you can complete an eligibility check at any time using the Eligibility button.
Admitting the Patient
If the patient chooses to admit, and the patient is in the correct EMR Location, complete the patient chart by following these instructions. The patient will be automatically resent to Avea upon creating the MR Number.
If the patient chooses to admit and is NOT in the correct location, please follow these instructions to change the patient's location prior to admission.
