Appointment Statuses (e.g., Arrived, No Show, etc.) are assigned to appointments in the Scheduler to help manage scheduling workflows. There are 12 system default statuses. From the Appointment Status Settings page, you can control which statuses appear in Scheduler, what they are named, how they behave, and their valid transition workflows.
Updating Appointment Statuses
Let’s review how to make update the default appointment statuses.
- To begin, click on your initials and then click Settings.
- Then click the Scheduler tab.
- You will land on the Appointment Status tab by default.
- Hover over the status you’d like to edit and click on the Edit icon.
- From the Edit view, you can make updates to the following fields:
- Alias: Use this field to rename the status on the Appointment Status drop-down filter within the Scheduler.
- Action: Customize the name of the Appointment Status in the Status Action drop-down. This name appears on the patient’s appointment card.
- Description: Include a description of this status. This description is only visible on the Appointment Status settings tab and is only used for your reference.
- Valid Transition: Determines which appointment statuses are available for selection on the Scheduler when the appointment is in the current status. For example, if a patient is in the Checked In status, it’s not likely we would then need to update the appointment status to No Show. Selecting the valid transition options helps minimize the list of available appointment statuses to select.
- You cannot update the Appointment Status icon.
- Click the checkmark to save your updates.
Remove/Disable Appointment Statuses
If there are some appointment statuses that are not relevant to your scheduling processes, they can be hidden.
Note: You cannot disable the Scheduled, Rescheduled, Draft, and Waitlist statuses.
Remove from Calendar View
The Show in Calendar View toggle is enabled by default. If you do not want a status to appear in Calendar View, use the toggle to turn it off.
However, it is important to note that toggling off the Schedule in Calendar View only removes it from the Calendar view. It will still be visible in the other views (e.g. List).
Remove from Scheduler
To completely disable a status, set the Enabled toggle to off. Once it is disabled, the status will not appear anywhere in Scheduler. If the status is in use, make sure that there are no appointments set to that status before you disable it.
