4. Communication or an Attempt at Communication with Patient or Patient Contact(s) Occurs

Communication is an essential component of the Pre-Admission Phase. Establishing effective communication with patients, their guardians, and/or guarantors is critical to ensure that patients receive the appropriate care and treatment. Effective communication can be particularly challenging in cases where patients are not easily persuaded or require multiple attempts before they decide to receive treatment. 

The Kipu EMR allows you to log all important communication attempts, including phone calls, emails, texts, or any other forms of communication used to contact the patient. By logging all communication attempts, you can track the patient's progress and ensure that they receive the necessary care and treatment. This step also helps users stay up to date with the next steps needed to admit the patient. 

Communications, or attempts at communication, with the patient or patient’s contacts, occur between business development representatives, admission coordinators, facility administrators, or any other authorized staff members, establishing conversations with the patient, the patient's legal guardian, guarantors, and other patient contacts.  

Note: This process only describes the pre-admission process for clients not using the CRM or Kipu integrated RCM products.

Workflow Steps

Let’s review the Kipu EMR’s two best practice workflows for completing communication attempts with the patient or patient contacts.  

Option One: Complete the Pre-Admission Evaluation Log 

Add the pre-admission evaluation log using centralized documentation. 

  1.  From the patient chart, click on the New Document icon.

  2. Locate the Pre-Admission Evaluation Log and click the Edit icon to add and open the log.A screenshot of a computer

  3. Click on + New Note to open the text box.

    Important
    No special field types can be added to the Log/Notes evaluation type template.

  5. A completed Pre-Admission Evaluation Log appears as follows:A screenshot of a computer

    1. Name: Displays the name of the staff member who completed the evaluation. 
    2. Date/Time: Displays the date and time that the evaluation was completed. 
    3. Edit: Click this icon to make changes to the evaluation. 
    4. Delete: Click this icon to delete the evaluation log. 
  6. Click on the + New Note button to create as many additional notes as needed. A screenshot of a computer

Option Two: Complete the Pre-Admission Assessment 

Add the pre-admission assessment by using centralized documentation.

  1. From the patient chart, click on the New Document icon.
  2. Locate the Pre-Admission Assessment and click the Edit icon to add and open the form.
  3. Add the necessary information and sign each entry. 

 

Update Pre-Admission Status 

Once you have completed the pre-admission assessment or the pre-admission evaluation log, you can update the client's pre-admission status, as needed. 

  1. Update the pre-admission status in the patient’s chart by opening the patient’s Information tab and clicking on Edit Patient. 
  2. Select the relevant pre-admission status.
