Continued Care: Scheduling An Appointment

To initiate an appointment, a patient can contact the facility, or a provider can direct staff to coordinate scheduling with the patient. The Scheduler optimizes appointment management by allowing providers to customize their schedules, facilitating seamless communication, and providing multiple options for viewing and scheduling appointments, enhancing the facility's operational efficiency.

Required Permissions: Admin, Patient Coordinator, Records Admin, and Super Admin.

Let's review the Kipu EMR's best practice workflows to schedule an appointment.

  1. Navigate to the patient's chart and select the Scheduler icon.
    • Note: Staff members must have at least one resource schedule configured before appointments can be scheduled for them. 
  2. Click Find Availability in the Scheduler window.
  3. Select the location and available resource for the appointment.
    • Note: When scheduling an appointment from the patient chart, the system automatically selects the location based on the patient’s chart settings, and this selection cannot be changed. 
  4. Select the appropriate appointment type.
    • Best Practice: Configure appointment types to streamline documentation access for counselors and providers. 
  5. Click on the telehealth icon to make the appointment virtual.
  6. Enter the preferred date, days, time, and click on Find.
  7. Click Select to choose the desired appointment.
  8. Click Save.
  9. Locate the appointment in the Scheduler. 
  10. The system sends a confirmation email and/or SMS to the patient and/or staff resource if appointment communications are configured. Automated reminder emails and/or SMS notifications are sent based on instance's configurations.
  11. The patient confirms the appointment. If necessary, patient contacts can also be added to the appointment.
