This workflow is for facilities that use hand-dispensing pumps, instead of automatic pumps, to dispense liquid medications. In this scenario, there is no pump configured in Settings > Konnectors. Instead, the facility manually dispenses the dosages and uses the EMR to document all medication transactions and pull reports.

Let's review how to manage pump medications with a manual dispensing pump and record transactions in the system.
- To begin, click on your initials and then click Settings.
- Then click the MAT tab.
- Enable Allow manual dispensing and click Update.
Opening a Medication Using Manual Pumps
When no pump konnector is configured, you will manually open the medication from the inventory at the start of the dispensing day.

To begin, click on the Inventory tab.

From the Facility tab, click on the In Use checkbox for the desired medication to open the inventory.

In the Change Bottle window, enter the Bottle Weight in grams.
- Click on the Sign and Submit button.

Sign in the box and click Submit.
- The system will display a bottle opened message, highlight the opened medication in green, and display the initials of the user who opened the bottle in the In Use column.
Transferring Medication to a New Bottle Using Manual Pumps
To combine bottles of the same medication when using manual pumps without Konnectors, use the following steps.

Once the bottle has been opened in the inventory, it will become the recipient bottle. Begin by clicking on the medication.

Click on the Transfer In button. In this example, the remaining quantity of this bottle is 7198.373 mg.

From the Transfer In window, select the donor bottle from the drop-down list.
- The system will display medication options that match the recipient medication's NDC Number, Lot Number, and Expiration Date. You cannot transfer expired medication or medication from a different manufacturer/lot number.
- Additionally, the total amount of medication in both bottles combined (recipient and donor) must be less than the Initial Quantity of the recipient bottle.
- The amount of medication in the bottle being transferred in will appear under Quantity.

Click on Sign and Submit.

Sign in the box and click on the Submit button.

The system will show the recent transaction including the amount of medication transferred, remaining quantity and staff member credentials with timestamps.
- Note: In this scenario, the system displays both the quantity transferred and the new remaining quantity, automatically adding the quantity from the donor and recipient bottles. Here, the Total Remaining Quantity is 25452.61 mg.

By clicking on the transaction link, you can view the Transferred In medication details.
Closing a Medication Using Manual Pumps

In the Inventory tab, click on the bottle you want to close highlighted in green.

Click on the Close button.
- Enter the bottle weight in grams.

Click on the Performed Date and Time field and select the date from the calendar. Use the sliders to adjust the time the medication was closed.

Add notes and attachments if needed.

To add a witness, enter the name of the staff member who witnessed the transaction in the Witness field. Click here to learn more about the witness signature workflow.

Click on the Sign and Submit button.
- If there is a discrepancy in the bottle weight entered, the system will display a warning message.

Sign in the box and click Submit.
- The system will show the recently closed medication highlighted in yellow, and include medication information, staff member credentials, and timestamps.

If you click on the transaction link, the system will display the open medication’s details.
