Scheduler Permissions can be assigned to users to supply additional access to scheduling functionality and settings.
Important: By default, Super Admins have the permissions described in this article included in their roles. These settings must be enabled for users with other roles who need more access.
Permissions Table
The following table provides information on access based on role and feature. Resources can only create and manage their appointments and users with view-only access will be able to view but not otherwise interact with all Scheduler appointments.
Add Scheduler Permissions
Let’s review how to add/manage Scheduler permissions.
-
Click on your initials and select Manage Users.
-
Locate the desired user and click Edit.
-
Scroll down to the Enterprise Scheduler section. In this section, you can add the following permissions to the user profile:
- Restrict Resource Schedule setup: Users with this permission can only view their Resource Schedule, they will not be able to edit it. Super Admins and users with the Manage Scheduler Settings permission will have to make any necessary additions and changes.
- Restrict Editing My Appointments/Sessions: Users with this permission cannot add or edit any appointments. They will still be able to view appointments, access and add documents and update appointment statuses.
- View Only Access to Scheduler: Users with this permission can see, but not edit or modify, all appointments based on their location access.
- Manage Schedule Settings: This permission allows users to manage Resource Schedules under My Profile (initials > Profile > My Schedule). It also gives access to all Scheduler Settings and related tabs under Settings > Scheduler.
-
Manage Schedules: Gives the user access to the Scheduler tab and allows them to see the full appointment list for all locations. This permission is typically provided to users who need to schedule appointments for other providers (e.g., centralized scheduling) or pull data based on appointments.
- Manage Scheduler Override/Overbooking: Gives the user the ability to override the system and schedule an appointment even if the Provider/Room/Appointment time is already booked. Also, the user can schedule an appointment type for a provider that isn’t included in their Appointment Block activity. For example, if the provider has an individual session appointment block, this permission allows the user to schedule a group session during that block.
- Past Waitlist Management: This permission allows users to manage waitlisted appointments for dates that occurred in the past. The Past Waitlist Management Scheduler Preference must also be enabled for this permission to be used.
- Add/Edit Backdated Appointments: This permission allows users to add and edit appointments that occurred on past dates. Please note that this permission is not required to update the status of appointments in the past.
- Add/Edit Groups for Past Dates: This permission allows users to add and edit groups sessions that occurred on past dates.
- Click Update to assign the new permission(s).
