While users can review all call back documentation under Schedules > Call Backs > Past Call Backs, they can also review the call backs for specific patients from that patient’s chart.
Required User Roles: Super Admins, Records Admins, Doctors, and Nurses can use the Call Backs feature.
Follow steps blow to navigate to the patient chart call backs:
- To begin, navigate to the desired patient’s chart by clicking on Patients > Patient Tile.
- If your instance is not set up for MAT medications, you will navigate to the Doctor’s Orders tab in the patient chart. If your instance is set up for MAT Medications, click on the MAT Orders tab.
- From either tab, you will see the Call Backs button.
- If you click on the Call Backs button, you will see the following view.
- At the top of the section, you will see filtering and export options.
- From/To: Filter Call Backs by date or date range. All completed call backs will be displayed by default until the current date.
- The three icons allow you to perform the following actions
- Download the current census or search results as a CSV file
- Print the current census or search results
- Create a PDF file of the current census or search results
- Details for each Call Back are shown in the following columns. You can click on any header to sort the results by the header selected. If a header has the filter icon beside it, you can click on it to open a list of filter-by options specific to that column. Select the desired filters and click Apply Filter.
- Medication: The name of the medication that prompted the Call Back.
- Call Back Date: The date of the Call Back.
- Empty: The expected and recorded count of empty medication containers (empty bottles, film wrappers, etc.). If the numbers are the same, then the empty quantity is met. If they are not, it is unmet.
- Remaining: The expected and recorded counts of medication remaining. If the numbers are the same, then the remaining quantity is met. If they are not, it is unmet.
- Lot #: Track the Lot Number if enabled in settings.
- UA: Whether or not Urinalysis was completed.
- Tampering: Whether the medication had been tampered with or not
- Comments: Includes any comments documented on the Call Back
- Completed By: The name of the user who completed the Call Back form.
- Completed At: The date and time the Call Back was completed.
- Outcome: The result recorded in the completed Call Back
- Delete (trash) Icon: Delete a completed Call Back if wrong information was entered. This icon is only visible for Super Admins.
- Drop-down icon: expand the Call Back details.
- Click on the drop-down icon to expand the Call Back details. The top section summarizes the patient’s information, as it appears in the columns. It also includes the medication order name, Call Back Date and Time, Hours Since Confirmation, and response status. The section below allows you to review the results of the Call Back.
Deleting Completed Callbacks
Once call backs have been completed, Super Admins can delete them from the patient's file. This feature is intended to remedy situations where a staff member entered the wrong information in a call back.
- To begin, click on the chart of the patient whose call back needs to be deleted.
- Then select MAT Order > Call Backs.
- Click on the trash icon located on the right to delete it.
- A message will appear prompting you to confirm that you wish to delete the callback.
- Select Yes to delete the item. Click No to cancel the action.
- Note: Once you delete the call back, this action cannot be undone.
