Scheduler users can use non-patient appointments to create meetings with other resources or block out time in their schedules without making changes to their Resource Schedule,
Note: Non-patient appointments from the legacy Calendar will not automatically migrate to Scheduler.
Before you begin using non-patient appointments, we recommend creating a custom appointment type (or types) for those internal meetings or time blocks. Your facility can give the appointment type (or types) whatever name works best for your needs, but we recommend something generic like "Internal Meeting" or "Appointment Block" that can serve as a multi-purpose type. Creating Non-Patient Appointments
To begin, create an appointment as you normally would, with the following exceptions.
- In the Appointment Type field, select the appointment type your facility uses for non-patient appointments.
- Use the Appointment Subject field to individualize the appointment type. This name will appear in the calendar.
- Fill out Recurrence information, as needed, and leave the Patients field blank.
- If you are a Super Admin or have the Manage Schedules role enabled, you can add as many resources as you need to the appointment using the Resource drop-down. Otherwise, the Resource field will show your name by default and you will only be able to create non-patient appointments for yourself.
- Note: If a user has been added to an appointment with multiple other resources, that user can edit the appointment and even remove themselves from it. If the appointment is recurring, select the Edit Occurrence button to edit only the selected appointment and the Edit Series button to edit every single appointment in the series.
- You can make the appointment a telehealth appointment, just as you can with patient appointments, by toggling the Telehealth Visit option.
- Be sure to click Save.
- You can edit non-patient appointments as you would edit any other appointment type.
- You can even add a patient to a non-patient appointment or remove a patient from an appointment, converting it into a non-patient appointment.
- Note: If you remove a patient from an appointment, be aware that the patient will receive a cancellation message, and if they are added to an appointment, they will get a scheduled message.
Viewing Non-Patient Appointments
Non-patient appointments appear in the Scheduler like regular appointments.
- From the main Scheduler tab, you can use the Appointment Type dropdown or the Non-patient Appointments icon to locate non-patient appointments, just as you would locate any other appointment type.
- In the Calendar and List View, non-patient appointments display the name of the appointment or appointment type rather than the name of a patient first. The appointment type will still appear, and if you hover over the appointment, you will see the full appointment subject.
