Treatment Episodes Report

The Treatment Episodes Report provides a comprehensive, filterable view of all patient treatment episodes within your organization. Use this report to quickly locate, sort, and export treatment episode data for analysis or documentation. This report is available from the Reports menu and includes filters for patient, location, level of care, program, status, and date range.

Required Permissions: Super Admin, Records Admin, or Manage Reports enabled in their user profile can create this report. Users with View Reports can only view the report.

Let’s walk through how to open and view the report.

  1. Select Reports from the main navigation menu.

    1. Or, select reports from the menu icon.
  2. Click on the Treatment Episodes tab.
  3. Select one or more filters to refine the data table for easier analysis. You can filter the Treatment Episodes Report by: Patient/MR/ID, Location, Clinical Level of Care, Program, Status, and Date Range. 
  4. The data table displays each treatment episode in a row, with sortable columns for Patient, Location, Clinical Level of Care, Program, Status, Episode ID, Start Date, and End Date. Click on any column header to sort the report based on that field.

You can export the Treatment Episodes Report in multiple formats depending on your needs. 

  • XLSS or CSV: Export the full table data for spreadsheet analysis. 
  • PDF: Generate a printable version that includes all pages of results.
  • Print: Print the document.

Note: Exported files include all treatment episodes that match the current filter selections.

Clinical Report

When a patient has active treatment episodes, the clinical report helps you track different data, including patient's active locations, location start date, program, and/or clinical level of care. The clinical report makes it easier to understand where and when a patient was active during the selected timeframe.

Follow the steps below to create a clinical report:

  1. Select Reports from the main navigation menu.
  2. Select Clinical as the report type.
  3. Set the report parameters by selecting Patients from the Template drop-down, and then click Continue.

Location Field

Use the Location field to track patients with active treatment episodes across multiple locations. This adds a column for each location within the report’s date range (up to 10 locations).

Only locations with active episodes during the selected date range will be included. If an episode ended before the report’s start date, that location will not appear. Columns are based on the start date of each continuous episode.

Note: This feature only applies when the Location data field is included in the Clinical Report.

  1. Include the Location field and any other desired fields.
  2. Scroll down and click Run Report.
  3. The report displays each active location in a separate column, numbered in order of treatment episode start dates.
    1. In this example, there are three active locations listed in the treatment episode selector under All Locations and in the Episode of Care Summary. 

    2.  So, three numbered locations appear in the report.

Location Dates Field

The Location Dates field shows when each active episode began. Each location with an active episode gets its own Location Date column.

  1. Include the Location Dates field and any other desired fields.
  2. Scroll down and click Run Report.
  3. The report displays one column per location, and the columns are labeled Location Date 1, Location Date 2, etc. from earliest to latest chronological episode start date. In this example, there are two location dates. 

  4. Location 1 has the most recent episode start date, and Location 2 has the earliest continuous episode so the report appears as follows.

Program Field

When a patient has multiple in-progress episodes across different programs and locations, the report display a column for each active program. This makes it easy to view all the programs a patient is currently participating in, regardless of location.

  1. Include the Program field and any other desired fields.
  2. Click Run Report.
  3. The report displays a column for each program, numbered and ordered by the first continuous encounter start date. In this example, there are three programs.

  4. So the report appears as follows.

Current Clinical Level of Care Field

This field displays columns for each Clinical Level of Care the patient is active in during the selected timeframe.

  1. Include the Current Clinical LOC field and any other desired fields.
  2. Click Run Report.
  3. The report shows columns for each qualifying current clinical level of care episode, numbered in order of start date. In this example, the patient has three qualifying episodes, 

  4. As a result, each Clinical Level of Care column is numbered sequentially by start date (e.g., Current Clinical LOC 1, Current Clinical LOC 2, Current Clinical LOC 3) in the report. Only episodes active during the report's date range are included.

Best Practices

Follow these practices to ensure accurate reporting:

  • Confirm that all patient episodes are marked In Progress.
  • Set the report’s date range to include all relevant episodes.
  • Check the order of Location Date columns for multi-location patients.

Troubleshooting Tips

If Location columns do not appear as expected:

  • Ensure episodes are marked In Progress.
  • Verify that the report date range includes the episode dates.
  • Refresh the report after making any updates.
