Getting Started
- Kipu Helix Mobile App is the Kipu EMR mobile companion for clinical staff, available on Apple and Android devices. It lets you browse the patient census, view patient records (including medications, flags, and insurances), manage appointments, send and receive portal messages, read and sign documents, access eRx prescribing, and use Kipu Intelligence AI features, all without needing a desktop computer.
- Any clinical staff member with an active Kipu account at an enrolled early access facility, provided their Super Admin has assigned them the Use Mobile App user permission in the desktop EMR. Some features, like Kipu Intelligence (Note Assistant and Chart Snapshot), require additional permissions configured by your Super Admin.
- Yes. Your Kipu Super Admin must assign you the Use Mobile App permission in the desktop EMR before you can log in. You can download the app, but you will not be able to authenticate until this permission is enabled. Contact your Super Admin if you are unable to sign in.
- No. Access to Kipu Helix Mobile App is included in your organization's Kipu subscription at no additional charge.
Login & Authentication
- Kipu Helix Mobile App uses a two-factor login specific to mobile devices. Enter your Kipu work email and password, then enter the 6-digit one-time passcode (OTP) sent to your work email. This verifies your device. It is not the same as the desktop single-sign-on (SSO) flow.
- Only if you did not enable Remember Me during login. If you enabled Remember Me, reopening the app will prompt for biometric unlock (Face ID or Touch ID on Apple devices, or fingerprint or face unlock on Android) instead of your password and OTP. Without Remember Me, you are signed out each time you fully close and reopen the app, and must complete the full OTP flow again.
- When logging in, turn on the Remember Me checkbox before tapping Sign In. After successfully verifying through the one-time passcode (OTP) workflow, your credentials are securely stored, and going forward you'll be able to use biometric unlock (Face ID or Touch ID on Apple devices, or fingerprint or face unlock on Android) instead of the password + OTP flow.
- Check your work email spam/junk folder first. Tap Resend on the OTP screen to request a new code. If you still don't receive it, verify that your email address is correct in your Kipu profile or contact your Kipu Super Admin.
- After successfully logging in, you'll see a list of the Kipu EMR facilities (instances) your account has access to. Tap the one you want to work in. Single-facility users are taken directly into the staff view of the app automatically. You can switch instances at any time from the side menu.
- Account lockouts happen after multiple failed login attempts. Contact your Super Admin or IT help desk to unlock your account.
Navigation
- The Kipu Helix Mobile App has two main areas: the staff view (what you see after selecting an instance) and the patient chart view (what you see after opening a patient). Each view has its own bottom navigation bar. The staff view shows your schedule, staff messages, patient census, and eRx. The patient chart gives you facesheet information, appointments, portal messages, documents, Kipu Intelligence, and patient-specific eRx.
- Tap the back arrow in the top bar to exit the patient's chart and return to the census. Swipe-back gestures are disabled in the Kipu Helix Mobile App to prevent accidental navigation. All navigation is completed by tapping.
- Open the side menu by tapping the hamburger icon in the top banner, then tap Switch Instance. Your current patient context will be cleared.
Patient Records
- The Patient Home tab shows a facesheet (name, photo or initials, DOB, MR number, admission/discharge dates, tap-to-call/email) plus accordions for Contacts, Flags, Medications, and Insurances. Additional tabs cover Appointments, Portal Messages, Documents, Kipu Intelligence, and eRx.
- Yes. The Medications accordion on the Patient Home tab shows the patient's current medication list. You must have permissions to view the patient's medication orders in the desktop version to view them in the app.
- Yes, via the Flags accordion on the Patient Home tab. To view flags, the Use Flags Instance Setting must be enabled, and you must have permissions to view Patient Flags. If you don't see it, contact your Super Admin.
- Yes. The Insurances accordion on the Patient Home tab is always visible to all staff; no additional permission is required.
- Use the global search bar at the top of any screen while inside an instance. Enter at least 3 characters; results appear inline beneath the search bar. Tap any result to open that patient's record. You can also browse the Patients tab in the Staff view for the full census.
Messages
- The Messages tab in Staff view is for staff-to-staff messaging, internal communications within your facility. It is not visible to patients.
- The Messages tab inside a patient's chart shows Kipu Patient Portal messages, communications between the patient (or their family) and the clinical team. This is separate from staff-to-staff messaging.
- Yes. In the Staff view Messages tab, tap New Message to compose a staff-to-staff message. In the Messages tab of a patient chart, tap the Compose button to start a new portal message to the patient or their contacts.
Documents
- The Documents tab in a patient chart shows Consent Forms and Evaluations.
- Yes. Open a consent form and, if a signature is required, the app presents an on-screen signature pad. Draw your signature and tap Save to submit it back to the EMR.
- Tap an evaluation to open its detail view. Users with access to modify and sign the evaluation via their function will see an Edit button that opens the full evaluation form in a WebView for editing and signature.
eRx
- The eRx tab loads the DrFirst (Rcopia) electronic prescribing portal in a secure WebView. It appears in both Staff View and a patient's chart. No separate DrFirst login is needed; the app fetches an authenticated URL from the Kipu EMR automatically.
- The eRx tab is visible to all users in both views; it is not hidden based on role. However, actual prescribing within DrFirst is governed by your DrFirst account and licensing. Only licensed prescribers should submit prescriptions.
- The Staff-level eRx tab (in Staff view) opens a general DrFirst view. The Patient-level eRx tab (in a patient's chart) opens DrFirst pre-scoped to the selected patient.
Note Assistant (Kipu Intelligence)
- Note Assistant lets you record a patient session or dictate a clinical note using your phone's microphone. Audio is uploaded securely and transcribed by AI. You can review completed transcripts in the app. Access requires the Note Assistant: Record, Dictate, Draft role.
- Record (Session) captures a live clinician-patient encounter. It requires AI consent on file for the patient. Dictate captures a clinician-only verbal note, no patient consent is required.
- The Record button only appears when the patient has a signed AI consent form in their record. Verify the patient's AI consent status in the desktop EMR. Dictate is always available to users with AI transcript write access.
- Green / Completed: Transcription is done; tap to read. Yellow / Processing: Transcription in progress; check back shortly. Red / Failed: Error occurred; contact Kipu Support with patient name and recording time.
- Recording stops automatically if the app is sent to the background (including when a call comes in). Use Do Not Disturb mode before starting a session recording.
Chart Snapshot (Kipu Intelligence)
- Chart Snapshot generates an AI-assisted summary of a patient's chart on demand. Useful for quickly orienting yourself before a session or handoff. Requires Chart Summary read/write ability and must be enabled on your instance.
- Snapshots are AI-generated reference summaries, not a substitute for reviewing the full patient record. Always verify critical clinical details in the complete chart before acting on a snapshot.
Security & HIPAA
- Yes. All PHI is encrypted in transit and at rest. Login requires two-factor authentication (password + a 6-digit one-time passcode). All access is authenticated, logged, and auditable. Super Admins can remotely revoke any user's access.
- The mobile app works on personal devices; however, confirm that personal device use is allowed under your organization's patient data access policies. If using the mobile app on a personal device, remember to keep your device OS up to date, use a screen lock, and notify your Super Admin immediately if the device is lost or stolen so access can be revoked.
- Contact your facility's IT Super Admin or Kipu Support immediately. Your Super Admin can remotely revoke your mobile session. Change your Kipu password as a precaution.
- No. Screenshots containing PHI are prohibited under HIPAA. Do not save, share, or export patient data to personal apps or messaging platforms.
Early Access & Feedback
- Early Access means you're among the first clinical users of Kipu Helix Mobile App. Core features are stable and in active use, but the feature set continues to expand based on your feedback.
- Planned items include: Push Notifications (real-time alerts for messages and schedule changes), and additional clinical documentation views such as care plans, progress notes, and vitals.
