Group Session cards provide a quick and easy way to view the Group Session information. Group Session cards are generated when a Group Session or Group Schedule is assigned to one or more patients and contain the essential session details and assigned attendee information.
Group Session Card Functions
Let's review the key information displayed on the Group Session card.
Note: Group Session cards are all purple, unlike appointment cards which differentiate color based on appointment type.
- Group Session Title: Displays the name of the Group Session.
- Group Leader: Displays the name of the individual indicated as the Group Leader in the Group Session Template. This field may be blank if no leader has been assigned. If more than one Group Leader has signed, the names of the additional signers will follow the group leader in parentheses.
- Location Name: The Location of the Group Session (as selected in the Group Session template).
- Session Type: The type of session (as selected in the Group Session template). Standard Group is the most common.
- Topic: Lists any topics added to the Group Session template.
- The Date, Time, Time zone, and Duration of the Group Session.
- Group Session Actions: Use this section to View, Edit, or Close.

Icons: The right-hand side of the card, contains a few different icons including:
- Appointment Status icon: This icon is the Group Session's current status. This defaults to the status of the first patient to take action on the session.
- Incomplete Patient Details icon: This icon appears if a patient assigned to the session has a pre-admission chart.
- Group Session Icon: Always displays to indicate the type of appointment.
- Telehealth Icon: Any session marked as Telehealth in the Group Session template will display this icon.
- Add Patient: Click this button to open the Edit Group Session window. Search for the desired patient, and click Add. Be sure to scroll down and click Save.

Click Start Session to open the Group Session page in a new tab where you can mark attendance, complete documentation, and sign. For more detailed information about this section, click here.

- Required Permissions: Only Super Admins, Records Admins, Case Managers, Therapists, Providers, Other Therapists, and users with the Manage Group Sessions feature can start Group Sessions.
- If the session is marked as a Telehealth session on the Group Session template, when the user starts the session, there will be a Start Telehealth button available to launch the Zoom meeting.

Viewing the Group Session

To view a group session, click on the eye icon.
- A panel will open on the right side of the screen.
- From this view you can add patients by clicking on the Add Patients text. (If your facility has chosen to refer to patients as clients, or similar, this button will say Add Clients, etc.)
- You can also review the assignment logs of patients in the group by clicking on the clock icon.
- Click on the arrow to expand and collapse the assignment log. You can click on the print icon to print out the list.
- You can also set the patient's schedule status by clicking on the calendar icon and then choosing the status from the list.
- You can use the Notes section as instructions for the patient. They can be printed out by choosing the List View and then clicking the print icon.
- If you click the Edit button at the bottom of the section, you will see the same views and options as if you had clicked on the edit pencil from the Group Session card (see the section below).
- Click on the arrow to expand and collapse the assignment log. You can click on the print icon to print out the list.
Editing the Group Session

To edit a Group Session from the calendar view, click on the desired session, then click on the pencil icon.
- A panel will open on the right side of the screen.
- You can add an existing patient to the group session by typing their name into the Add Patient field and choosing the correct option from the drop-down. Then click Add.
- To add a new patient, click Create New Patient, then adding their information in popup window.
- If you click on the clock icon, you can view the patient's assignment log, which shows occurrence assignments, changes to assignment date range, and dropped assignments.
- You can print the assignment history, and view/hide more details by clicking on the carrot.
- Click on the edit icon to edit or drop the patient from a group session. For specific instructions on dropping a patient from a group session, click here.
- You can use the Notes section as instructions for the patient. They can be printed out by choosing the List View and then clicking the print icon.
