Scheduler: Patient Chart

Users can quickly schedule appointments or group sessions for the patient directly from the patient chart, without leaving the tab that they are currently on.

Note: This feature replaces the previous Appointments patient chart tab. 

  • From any tab on the patient chart, click the Scheduler icon.
  • The Scheduler opens as a pop-up on the right side of the screen.
  • You will notice that all session types are selected to appear by default, but you can unselect options as desired by clicking on those icons.
    1. Shows all patient appointments
    2. Shows all group sessions
      1. Click on the Group Session icon to choose between Sessions and Schedules. Sessions will show all the patient's sessions, including those associated with a group session schedule, while Schedules will only show the patient's sessions associated with a group session schedule.
    3. Shows all Telehealth sessions
    4. Shows all in person sessions
  • Clicking Clear removes selections from the Appointment Status, Appointment Type, and Group Session fields.
  • Click on Assigned Sessions to display the patient's assigned sessions.
    • You can click on the print icon to print out the information from this view and on the x icon to close the section.
    • You may have to scroll to the left to see the following icons:
      • Assignment Log: Click on this icon to view all actions related to the assignment.
      • Drop: Remove the patient from the specific group session occurrence.
      • Edit: Edit the patient's assignment for the specific session occurrence.
      • Delete: Delete patient from the specific session occurrence.
  • Click on Combined Schedule to display all the patient's assigned group sessions, group schedules, and ad hoc sessions chronologically by day.
    • You can click on the print icon to print out the information from this view and on the x icon to close the section. Telehealth sessions will be indicated by a video icon.

Schedule Appointments or Group Sessions

When scheduling from the patient chart, the patient and location information is automatically populated.

  • Find Availability: Click on Find Availability to use desired criteria to search for available appointment slots. Find Availability is especially helpful when you want to schedule an appointment with the next available provider or schedule an appointment with date flexibility. Click here for instructions.
  • Schedule Appointments: Click on the + Add drop-down to schedule appointments. Click here for instructions.
  • Assign Group Sessions/Schedules: Click on the ▼ icon next to + Add and choose Group Sessions. Click here for instructions.

Scheduler Filters and Views

From the patient chart, you can view the patient's appointments and sessions in Calendar or List view, and by day, week, and month. 

Calendar

In Calendar mode, you can view all the patient's appointments and sessions, and choose to view them by day, week, and month.

  1. Enable this toggle to show past appointments.
  2. Click on this drop-down to view the calendar by day, week, or month

List View

In the List View, you can view the patient's sessions and appointments in a list view2024-07-02_14-57-49.png

  1. Delete: Use the checkboxes to select the desired appointments, and then click the trash icon to delete them.
  2. Change the status of appointments: Use the checkboxes to select the desired appointments, then click the calendar and pencil icon to change the group session.
  3. Enable this toggle to show past appointments.
  4. Print: Print the list, complete with selected filters and views.
  5. Export: Export the list, complete with selected filters and views, to PDF, CSV, or Excel file.
  6. Filter them by day, week, month, and custom.
    1. If you choose Custom, you can enter the desired time range.

Tip: Use the list view to automatically generate a list of the patient's upcoming appointments and group sessions to share with the patient. 

Customizing the List View

You can customize which columns appear in the list view and in what order they appear.

  1. Click on the gear icon to open the Customize Table Columns widget. Any customizations made here are unique to the user. 

     
    1. Search: Search for the desired column
    2. Select All: Use this toggle to enable or disable all column options
    3. : Click and drag this icon to move the column options into your desired order
    4. Toggles: Use the toggles to enable or disable individual column options.
    5. Click Save to preserve your changes.
  2. Columns: The following are all available columns in the List View. 

    Details Day Date Time
    Duration Appointment Subject Appointment Type Participants
    MR# Phone Number Email Resource
    Location Room Notes Cancelation Reason
  3. Choose how many rows you wish to display at a time
  4. Use the navigation arrows to view other results if there are more than can appear in the number of selected rows.

Viewing Existing Group Sessions

You can also view existing Group Sessions from the patient's chart.

  • Once the Scheduler is open, select only the Group Session icon and then double-click on the desired group session.
  • Next, click on the pencil icon to edit.
  • Notes and other changes made here will reflect in the group session card in Scheduler.
  • You can use the Notes section as instructions for the patient as they can be printed out by navigating to List View and then clicking the print icon.
