Flags for Kiosk

Patient flags allow you to add notes/alerts to the patient chart and report on them. Additionally, there are two Flag types that are specifically designed for use with the MAT Kiosk. Please ensure you've enabled the Flag feature before attempting to create the following flags. 

  1. Visible to Patient: When assigned to a patient, this flag appears in the Messages section of the Kiosk after logging in.
  2. Prevent Kiosk Check-In: This flag prevents the patient from completing the check-in process via the Kiosk and provides the patient with specific instructions on what to do next (e.g., proceed to front desk).

Required Permissions: Only Super Admins can create these Kiosk-specific flags. Additionally, any user with a function matching the selection during flag creation can add the flag to a patient chart. 

Visible to Patient Flag

These flags pop up in the Message section of the Kiosk before the patient clicks on the Check-in button. Most facilities set up these flags to notify patients to schedule specific appointments with specific departments, schedule counselor appointments upon arrival, that a Lab requisition is due, etc.

Note: This message will appear as long as the flag has been added to the patient’s chart, the flag is active, and has not been resolved or canceled.  

To create a Visible to Patient flag:

  1. To begin, click on your initials and then click Settings
  2. Then click the Flags tab.
  1. To create a new flag, click the + New button.blobid1.png
    • Alternatively, you can update an existing flag by clicking on the Edit icon next to the flag.
  2. Fill out the following information in the New Flag window. All fields indicated with an asterisk (*) are required.
    1. Name: Enter a name for the flag. This is the message that will appear in the message section of the Kiosk screen. In this example, it was named “Pending counselor appointment”. 
    2. Active: Checking the Active box makes this flag available for use. 
    3. Visible to Patient: make sure to select Visible to Patient. This is the setting that displays the flag under the patient messages section of the Kiosk screen. This flag remains visible to the patient as long as it is active and has not been resolved or canceled.
    4. Description: You may enter a short description of the flag in this field. This message does not appear in the Kiosk and is for internal, facility use only.
    5. Severity: We recommend selecting Informational for this type of flag.
    6. Category: Optional. This section will display the categories set up in the instance under Flag > Categories.
    7. Stop Dosing: Enabling this checkbox prevents the patient from receiving their MAT Order. You are unlikely to need this option for Kiosk flags.
    8. View As Banner: Check this box if you would like the flag to appear as a banner in the patient's chart, where it will be visible above the header until dealt with.
    9. Prevent Kiosk Check In: It's not likely you'll need to select this option for the purpose of a visible flag. Enabling this check box prevents users from checking in through the Kiosk. 
  3. Click on the Create and Continue.  
  4. After clicking Create and Continue, the system displays a System Generated checkbox.
    1. Check the System Generated box to mark this as a system-generated flag. Additional settings display.
      1. Trigger:  Use the dropdown menu to select Call Back Scheduled.blobid5.png
      2. Resolve After: Select one or both available options for resolving this flag.

    2. Next, choose one or more locations that can use the flag, then click the Save button.blobid3.png
  5. Then choose which staff members can assign this flag to patients and click the Save button. blobid4.png 
  6. Finally, click the Save button at the bottom of the screen. 

Assigning the Flag to Patient

Let's review how to assign a Visible to Patient flag to a patient and the resulting message that appears in the Kiosk Messages section. 

  1. To assign the Visible to Patient kiosk flag, navigate to the patient chart and click on the Flag icon.

  2. Select the flag you would like to assign to the patient from the drop-down and click on the Assign button.blobid2.png
  3. The patient will see the flag text in the Messages section in the Kiosk during check-in.mceclip2.png
  4. Once you assign the flag it will display on the patient chart and in Kiosk until it is resolved or canceled.mceclip1.png

Prevent Kiosk Check-In Flag

Patients with this type of flag assigned to their chart will not be able to check in from Kiosk. The Check-in Button will be disabled and a message will be displayed below the disabled Check-In button, e.g., “Please go to the Front Desk immediately upon arrival”. 

Note: Patients will be unable to self-check in via Kiosk until the flag has been resolved or canceled.

To create a Prevent Kiosk Check-In flag:

  1. To begin, click on your initials and then click Settings
  2. Then click the Flags tab.
  1. To create a new flag, click + New.
  2. Fill out the information in the New Flag window:
    1. Name: Type the name of the flag.
    2. Active: Checking the Active box makes this flag available for use.
    3. Description: Optionally enter a short description (only for facility internal purposes).
    4. Severity: We recommend selecting Informational for this type of flag.
    5. Category: Optional. This section will display the categories set up in the instance under Flag > Categories.
    6. Stop Dosing: Enabling this checkbox prevents the patient from receiving their MAT Order medications. You are unlikely to need this option.
    7. View As Banner: Select this box if you want the flag to appear as a banner on the patient's chart.
    8. Prevent Kiosk Check In: Select this box to prevent users from checking in via the Kiosk.  
    9. Check In Message: Enter a message to display to the patient below the disabled Check-in button in Kiosk, like “Please go to the Front Desk immediately upon arrival”.
  3. Click on the Create and Continue.  
  4. Next, choose one or more locations which can use the flag, then click the Save button.blobid3.png

  6. Finally, click the Save button at the bottom of the screen. 

Assigning the Flag to Patient

Let's review how to assign a Prevent Kiosk Check In flag to a patient and the resulting behavior and message that appears in the Kiosk. 

  1. To assign the Prevent Kiosk Check In flag, navigate to the patient chart and click on the Flag icon.

  2. Select the flag you would like to assign to the patient from the drop-down and click on the Assign button.blobid5.png
  3. In Kiosk, the Check In button will be disabled, and any message configured in the Flag settings will display under the button.mceclip3.png
  4. Once you assign the flag, it will display on the patient chart and prevent Kiosk check-in until it is resolved or canceled.mceclip4.png

Note: All the Flags will be available in the patient's chart. The flags must be added, active, and not resolved in order to be able to show in the Kiosk when patients attempt to check-in. Facilities can combine both Visible to Patient and Prevent Kiosk Check-in functions, if desired.
