Scheduler: Manage Rooms

Let's review how to create Rooms in the Kipu EMR, assign the rooms to a Resource Schedule, and then assign those rooms to a specific Appointment on the Scheduler. 

Create Rooms

Super Admins can create rooms under the Rooms Settings tab. Click here for instructions. 

• Assign Building and Location: When creating Rooms, it's important to ensure that the room is assigned to a Building. For master instances, all buildings must be assigned to a Location.  Failure to assign the Room to a building (or failing to assign the building to a location) will result in the room not appearing in the Resource Schedules section.
• Used As: Don't set the Used As drop-down to Bedroom. You can leave this field blank or set it to any other value however, setting it to Bedroom will prevent it from appearing in the Resource Schedules section.

Create a Schedule Template

You can create a new Schedule Template for the Room availability or use one of the default templates. Click here for instructions on creating a new Schedule Template. 

Assign a Resource Schedule to the Room

Each room will need to be assigned to a Resource Schedule. 

Bulk Assign Schedule

Super Users and users with the Manage Schedule Settings role can use the following steps to assign a schedule to Rooms.

1. Click on your initials and choose Settings > Scheduler.
2. Then choose Resource Schedules.
3. Click on the ▼ next to the +Add button and choose Bulk Add Resource Schedules.
4. Complete the following fields on the Bulk Resource Schedule Creation window.
   1. Choose Location from the Resource Type drop-down. 
   2. Use the Resource drop-down to select the Rooms to bulk assign to the schedule. 
   3. Choose the desired Schedule Template from the Template drop-down.
5. Click Save to assign. 

Note: You can only assign Resource Schedules in bulk for rooms that are in the same Location. The rooms can be in different buildings as long as the buildings are tied to the same location. This applies to master instances only.  

Assign Schedules (Single)

You can also assign Template Schedules to individual rooms following these instructions and choosing Location from the Resource Type drop-down.
