Settings: Rooms Tab

From the Rooms tab, you can create buildings, rooms, and beds to track and manage your patient occupancy

  1. To access the Rooms tab, click on your initials and select Settings

Creating Buildings

Before you can create a room, you must create a building. 

  1. To add a building, click New Building

  2. Add your building by name, ensure the Enabled box is checked, and click Add. mceclip2.png
  3. Note: Each building appears as a tab on the Occupancy page.mceclip3.png

Master Instances: Assign Building to Location

Each building must be assigned to a Location for organizations with a Master instance. Buildings are assigned from the Location in the Company tab. 

  1. To assign a Location, click on Settings > Company. mceclip4.png
  2. Click on the Edit icon for the location where the building should be assigned.mceclip5.png
  3. From the Buildings section, check the box to assign the building to the location. mceclip6.png
  4. Click Update to save.

Creating Rooms and Beds

Once the building has been created, you can add rooms and beds. 

  1. Click New room.

  2. Enter the Room Number/Name and click Add.mceclip8.png
  3. Select the Building to put the room in.mceclip12.png
  4. Choose a Category for the room. Options include Private (one bed), Semi-Private 2 (2 beds), Semi-Private 3, Semi-Private 4, and Ward (5+ beds). 
  5. From the Used As drop-down select Bedroom, Office, Group, and Other.
  6. Use the Gender Restriction drop-down to select Male Only, Female Only, or First Assigned. First Assigned means that whatever the gender (or gender identity) of the first person added to the room, that room becomes that gender-specific. For example: If a male is added first to a room, the other beds in the room become restricted to Male occupants only. This field does respect gender identity (if included on the facesheet). 
  7. Next, click Add bed as many times as needed to get the correct quantity of beds. mceclip13.png

    • Important: Each bed in the occupancy list must have a unique name. For example, you cannot have two rooms named Room #1 even if the rooms are in two different buildings. For this reason, you may want to have the room numbers correspond to the building names. For example:
      • Building = Recovery Oasis
      • Room = Recovery Oasis 1
      • Bed = RO 1, Bed 1
  9. Click Update to save. 

Disabling Buildings, Rooms, and Beds

Once a building, room, or bed has been assigned patients, you will only be able to disable it.

Disabling a Building

  1. To disable a building, click on the pencil icon next to the desired building's name.7.png
  2. Once on the building's details page, disable the building by deselecting the Enabled box and then clicking the Submit button.6.png
  3. The building will now appear as unavailable in the list. 9.png

Disabling a Room or Bed

  1. To disable a room or bed, click on the pencil icon next to the room.8.png
  2. On the room details page, if you wish to disable the entire room, deselect the Enabled checkbox indicated below by the letter a. If you wish to disable only a bed within the room, deselect the Enabled checkbox next to the desired bed or beds as indicated by the letter b.10.png
  3. Once you have made the desired changes, click Update.
  4. The disabled room or bed will appear as unavailable. 11.png

Deleting Buildings, Rooms, or Beds

Buildings, rooms, or beds that have patients assigned to them (either currently or in the past) cannot be deleted, only disabled, as described above. However, if you have created a building, room, or bed in error, and there are no patients assigned to it yet, you can delete the location or room by clicking on the red x beside it.  12.png

  1. To delete a bed, click on the pencil icon beside the room where the bed is located. 13.png
  2. From the room details page, click on x Delete bed beside the bed you wish to remove, then click Update to save. 14.png
  3. The bed will now be removed from the list.
