Effective Date: January 15, 2025
To ensure efficient and reliable performance of our Kipu BI dashboards and data exchange services, the Data and Analytics team will be limiting the availability of CMD data to a rolling three-year period. Below, we outline the key details of this update and its implications for your organization.
What Is Changing?
Starting Wednesday, January 15, 2025, the CMD data available through the Revenue Cycle Kipu BI dashboard and the CMD Data Exchange Package will be restricted to a three-year reporting period. This means only data from the last three years will be accessible within these tools. The time limitation is determined based on the following dates:
| Data Related To | Date Used |
|---|---|
| Claims, charges, payments | The later of the Last Update Date (“lastupdate”) and Creation Date (“entered”) |
| Activities, charge histories, remittances | Creation Date (“entered”) |
| Claim statuses | Creation Date (“status_date”) |
Why Is This Change Being Made?
The CMD dataset has grown significantly over time, resulting in longer processing times that could impact the availability and frequency of updates. By limiting the reporting period to three years, Kipu ensures timely and consistent data refreshes, providing an improved experience for our customers.
Who Is Affected?
This update applies to:
- Customers using CollaborateMD (CMD) for whom CMD provides data to Kipu.
- Users with access to the “Revenue Cycle” dashboard in the EMR under Kipu BI.
- Customers subscribed to the CMD Data Exchange Package.
Recommendations for Preserving Historical CMD Data
For customers requiring data older than three years, we recommend the following:
- Establish an Archiving Process: Archive existing CMD data and implement a regular process to periodically archive CMD data moving forward.
- To download your data, we recommend opening the Revenue Cycle Dashboard and navigating to the Consolidated Table tab. From here, click on the three dots in the top right and choose Export to CSV.

- Contact Your Client Success Manager (CSM): If your organization is unable to set up an archiving process by January 15, 2025, reach out to your CSM. They can assist in determining a timeline and coordinating with the Data & Analytics team to ensure appropriate accommodations are made.
Accessing Records Beyond Three Years
Kipu will continue to maintain CMD records for at least seven years. Customers requiring data over three years old may request a data extract through the Data Extract Request Process. Please note that fulfilling such requests may incur a one-time fee.
