Dispense the Ordered Doses

Doses can be dispensed through Queues, which allows you to track Take Out bottles. All available Window and Take Out doses appear in the Doses to Dispense section based on the order schedule. Users can dispense all available doses, select specific doses using the checkboxes, or deny dispensing. Alternatively, dispense from the patient’s MAT Order tab in the chart.

Dispense the MAT Dose

Follow the steps below to process MAT doses.

  1. Check the patient into the Dosing Queue. Click here for Queues instructions.
  2. Enter the Returned Take out Bottles.
  3. Review the Doses to Dispense section. The system will select all doses by default.
  4. If you'd like to make updates to the doses being dispensed:

    • Unselect the dose checkbox to prevent that dose and any following doses from being dispensed today.
    • Recheck a dose to re-add it to the dispensing list for today.  
  5. Review the doses and click the Dispense button.

    • The Dispense button will not be available if you don't have the ordered medication checked out from the inventory. 
  6. After clicking the Dispense button, do not scroll the page. The EMR will navigate automatically to the Dispensing screen. 
  7. The system displays a notification if the patient hasn't paid for all doses. Follow your facility policy before proceeding.

  8. Collect the patient's signature if enabled and click Submit.
    • If Blind is checked on the order, the dosing quantity will not display.
    • The signature window automatically opening on the dosing screen is optional and can be configured by a Super Admin under MAT Settings.   
  9. If takeout doses are available, click on the Print TO Labels button. Click here for instructions on configuring the label printer. 

    • Use the drop-down menu to print bulk labels, window labels, or print all labels together.
  10. Click on the Dose button (or press the Enter key) to begin dispensing each dose individually. Each dose is displayed as a separate line with the Amount, Type (Window or Take Out), whether the dose is a Split dose, and the Take On Date. 

    • This button will display Dose All when the pump is set to manual and the patient has more than one dose. mceclip18.png
  11. The system will highlight each dose in green after it has been dispensed.
  12. Continue clicking Dose to dispense each dose individually.   
  13. The system displays the current dose being dispensed over the total number of doses.
  14. Change/Transfer Bottle: If you don't have enough medication to continue dispensing, you can change the bottle or transfer directly from the dispensing screen. Check out the Change or Transfer-In Medication Bottles instructions.   
  15. Click Close once all the necessary doses have been dispensed. This button must be pressed to record all dispensing transactions properly.
  16. The system will display the following message "All available doses have already been dispensed" in the Doses To Dispense section. 
  17. All the dispensed doses can be reviewed under the Dispensed Doses section.

    • Note: You can re-dispense doses before midnight of the same dispensing day if you need to record a spillage, waste, or return to inventory. For more information on this section, click here.
  18. If you attempt to exit the Dosing Queue with undispensed doses, an alert will display, warning you that there are undispensed doses. You will need to confirm that you wish to exit or click Cancel to return to the Dosing Queue. 

Note: The MAT Dispensing screen will time out after 15 minutes of inactivity (i.e., 15 uninterrupted minutes without scrolling, clicking, dispensing, etc.).
