MAT Medications

All medications that your facility plan to receive and dispense must be configured for each location prior to receiving inventory. Only Medications configured by Super Admins in the Medication tab of the Location Settings will display as options when creating MAT Orders, receiving New MAT medication, configuring Medication Combinations, or performing MAT Reconciliation.

You can create Non-pump Medications, Pump Medications, and Strength Combinations from this tab. 

  1. To begin, click on your initials and then click Settings
  2. Then click the MAT tab.

Create a Non-pump Medication

Let's review how to add a non-pump medication.

  1. From the MAT tab, click on Location Settings.
  2.  Click the edit icon next to the location where you want to add a medication. mceclip1.png

  4. Click Add Medication.

  5. In the new window, enter the following information for the desired Medication.mceclip1.png
    • Medication: Begin typing in the name of the medication and the system will display the medications from the configured medication database. Select the appropriate medication from the drop-down list.

    • Route: Select the appropriate route based on the options offered in the drop-down list.

      • Note: If the options offered by the medication database do not match your needs, click on the Custom option. You can then free-type your desired route for the medication.
    • Dosage Form: Select the dosage form available for this medication from the drop-down.  blobid4.png
      • Note: If the options offered by the medication database do not match your facility’s needs, click on the Custom option. You can then enter the desired dosage form. 
    • Strength: Select from the available options on the drop-down list.  blobid5.png
      • Note: If the options offered by the medication database do not match your facility’s needs, click on the Custom option. You can then enter the desired strength.
    • Manufacturer: Type the name of the medication manufacturer in this field.blobid6.png
    • Initial Quantity: Enter the total amount of medication available in the medication bottle.blobid7.png
    • Units: Select the appropriate units from the drop-down options.  
    • Variance Amount: If a variance amount is entered, you will be alerted when there is a discrepancy between the actual and expected amounts. Leave this field blank if you do not wish to receive an alert. 
    • Billable: Check this box if you are integrated with a billing platform and want to bill for this medication. Once checked, you can enter the billing code and up to 4 modifiers.  
    • Notes: Enter notes for internal facility information. 
  6. Click on the Add button to save.

Once the medication is successfully added, the system will display a green message to confirm that the medication has been created. Repeat the same process to configure each medication per location.

Click on the Edit icon to edit the medication or the red X to delete it.

Note: The red x icon will be available if the medication has not been used. Once an order is created for the medication or the medication has been entered in the inventory, you can no longer delete it. 

Repeat this procedure for each medication bottle in each facility location.  

Add a Pump Medication  

This section allows you to configure the liquid MAT medications dispensed through a pump. 

  1. From the MAT tab, click on Location Settings.
  2.  Click the Edit icon next to the Location you want to add a Medication to. mceclip1.png

  4. Click Add Pump Medication.

  5. In the new window, enter the name of the liquid medication.
    • Medication: Begin typing the name of the pump medication. Select any of the available options from the medication database that appear in the drop-down list. blobid12.png
    • Route: Select the appropriate route based on the options offered in the drop-down list.  blobid13.png
      • Note: If the options offered by the medication database do not match your facility's needs, click on the Custom option. The system allows you to free-type your desired route for the medication.
    • Dosage Form: Select the dosage form available for this medication based on the drop-down list from the medication database.  blobid14.png
      • Note: If the options offered by the medication database do not match your facility's needs, click on the Custom option. The system allows you to freely type your desired dosage form. 
    • Strength: Select the available options from the drop-down list.blobid15.png
    • Dose Out of Range: This field defines the threshold for triggering alerts when there is a significant change in the dosage of a patient’s MAT order. When creating or modifying a MAT order, the system will compare the dosage of the new order with the previous one. If the difference between the two doses is equal to or exceeds the value set in the Dose Out of Range field here, an alert will be triggered when you attempt to save the new order. The alert applies to all medications of the same type, even if they are from different manufacturers.  
      • Note: This field only accepts whole numbers.
    • Manufacturer: Type the name of the medication manufacturer in this field.blobid16.png
    • Empty Bottle Weight: Enter the weight in grams of an empty bottle and cap from the same manufactured medication. Make sure to use grams. This field, combined with Average Density controls weight to mg/ml conversion calculations for liquid methadone.blobid17.png
    • Average Density: Enter the average density of the medication as reported by the manufacturer in g/ml. Make sure to enter the empty bottle weight in grams/milliliters.     • Initial Quantity: Enter the total amount of medication available in the bottle. Make sure to enter the initial quantity in milligrams.  blobid26.png
    • Max Fill Quantity: Enter a maximum quantity field of medication to be transferred to the bottle. Entering a maximum filled quantity allows you to add that amount of medication to this bottle. Make sure to enter the Max Fill Quantity in milligrams. blobid19.png
      • Note: Leave the field blank if you want to use the original quantity as the max fill quantity.  
    • Variance Amount: Entering a variance amount will alert you when there is a discrepancy between the actual and expected amounts. Leave it blank if you do not wish to receive an alert.blobid21.png

  6. Click on the Add button to save. 

The system displays a green message to confirm that the medication has been successfully created. Repeat the same process to configure each pump medication per location.

Create Strength Combinations 

Strength combinations must be configured for all non-liquid MAT medications that can be given as a combination of different strengths. These settings determine the dose amounts available in the MAT Orders, and the combinations of strengths available to dispense that dose amount.

The system allows the facility to configure the preferred combinations and strengths for each medication dose. The facility can configure the medication strength combinations based on their preferences.

Note: Medications must be created prior to creating strength combinations.

To set the strength and combination of medication, use the following instructions.

  1. From the MAT tab, click on Location Settings.
  2.  Click the Edit icon next to the Location you want to add a Medication to. mceclip1.png

  4. Scroll to the Strength Combinations sections, then click New Strength Combination. mceclip5.png
  5. In the new Add Strength Combination window, select a previously configured MAT medication from the drop-down menu.

  6. Enter the maximum total dose of the medication by the minimum number of milligrams needed to reach the maximum dose.  mceclip7.png
  7. Enter any internal facility notes (as needed) and click on the Add button.blobid28.png
  8. Once you have successfully added the desired amount, the system will provide a green notice confirming that the medication has been entered.blobid29.png
  9. Next, add a combination grouping. In this example, the facility must dispense a total of 8 mg worth of Suboxone films. The system allows you to dispense with the strength of your preference based on the facility inventory. We have Suboxone 8 mg film, Suboxone 4 mg film, and Suboxone 2 mg film.mceclip8.png
    • Suboxone film sublingual 8mg-2 mg: Type 1 in the quantity field in order to dispense a total of one film of 8 mg. Click Update.blobid30.png
    • Suboxone film sublingual 4 mg-1 mg: Type 2 in the Quantity field in order to dispense a total of two films of 4 mg to reach a total of 8 mg. Click Update.blobid31.png
    • Suboxone film sublingual 2 mg- 0.5 mg: Type 4 in the quantity field in order to dispense a total of four films of 2 mg to reach a total of 8 mg. Click Updateblobid32.png
  10. After entering all possible combinations of the medication, the system will automatically create a Priority Grouping Table. From this table, you can configure medication strength priority using the arrows to move the combinations up or down. This order is entirely based on your facility preferences. blobid33.png
    • In this scenario, the 8 mg film will be dispensed first above the 4 mg and 2 mg films.
    • Next, the 4 mg films will be dispensed in groups of two to reach a total of 8 mg.
    • Finally, the 2 mg films will be dispensed in groups of four to reach a total of 8 mg.
  11. To update the priority of medication strength, click on the up and down arrows to re-organize the order in which they will be dispensed.

Be advised that the user dispensing the medication can manually override any priority set up in this section, based on the bottles of medication opened at the serving window. 

Strength Combination Tips

  • Multiple Dosage forms of the same medication can be included in the same medication combination.
  • Buprenorphine/Naloxone tablets and films will be contained in the same combination.
  • Users cannot configure combinations with different base medications. For example, you cannot create a combination with both buprenorphine/naloxone and methadone as components.
  • Liquid medication does not get configured as a combination.
