Treatment Episodes FAQs

Note: This feature is currently in limited release to a select group of clients and will be rolled out to everyone in the coming weeks.

  • Episodes represent a period when a patient is in one location, level of care (LOC), and program. A change in any of these starts a new episode. 

    Events are the actions that record those changes, like admissions, change level of care, transfer, discharge, etc.

  • Currently, no. To change pre-admission fields, you must roll the patient back to pre-admission status. If an event is mistakenly assigned, you can use the Undo Event button to correct it, as long as no documentation has been added to the treatment episode.   • Yes, as long as the events do not have documentation attached. Once documentation has been added to the treatment episode, the Undo option becomes unavailable. Click here to learn more about the undo functionality.
  • An Episode of Care Summary spans the full treatment timeline from pre-admission to discharge. Treatment Episodes are segments within that timeline based on changes to location, LOC, or program.
  • All documents are grouped by Treatment Episode. Users can view documents from other locations, but cannot edit them unless they have access to that location. Click here to learn more about the Transfer Location workflow.
  • Doctor’s orders transfer automatically. The user must click Acknowledge before the medication can be administered in the MAR/Med Log. Click here to learn more about the Transfer Location workflow.
  • Use the color-coded bars:
    • Gray: Planned status. Click here to learn how to create a new patient chart.
    • Blue: Active status. Click here to learn what happens after a patient is admitted.
    • Green: Discharged status. Click here to learn what happens after a patient is discharged.
  • Once a user clicks Add Form, the available options depend on the selected Treatment Episode. Click here to learn how to add documentation.
    • If the user has access to multiple locations, they’ll only see forms tied to the location of the Treatment Episode they selected.
    • If the user only has access to one location, they can only open that location’s Treatment Episode and add forms for that location—but they can still view documents from other locations in read-only mode.
  • Yes. If a form is linked to the wrong Treatment Episode, it can be reassigned. Go to the Chart Summary tab, open the Treatment Episodes section, and click the Change Episode button next to the document, doctor’s order, or group session that needs updating.   • The location drop-down in patient chart tabs acts as a filter to help narrow the visible documents. The purple header location selector, however, sets the actual context of the patient's location. Click here to learn more about how to filter forms by location, level of care, or program.
  • No. A user’s access is limited to the locations listed in their user profile. Patients assigned to other locations will not appear in their view. Learn more about how to create users.
  • The Readmit button creates a new patient chart—either in the same location or a different one, depending on your access. Kipu automatically copies key information like demographics, payment details, contacts, allergies, and dietary needs into the new patient's chart. Learn more about how to readmit a patient.
  • No. Treatment Episodes apply only from the first post-go-live action. Existing data remains unchanged.
  • Treatment Episodes improve billing accuracy and core billing workflows remain the same.
  • To enable Salesforce integration with Treatment Episodes, client must use API Version 4, which supports episode-specific endpoints. While Treatment Episode data can be received at any time, API information for episode-related calls will not be available until the client upgrades to API v4. Existing Admission and Discharge endpoints continue to reference the chart’s dates, while new endpoints allow capturing Episode Start and End dates.
