Release 1.5.2 - August 22, 2023

New

  • Appointment Communication Delivery History: We have made enhancements to the email and SMS message delivery statuses for appointment communications. For more information, click here.
  • Appointment Hover Over on Calendar View: When you hover over an appointment on the calendar view of the Scheduler it will now display the Appointment Subject and Appointment Type without having to click to open the appointment card. For more information on Scheduler filters and views, check out this article.
  • New Appointment Subject Field: Users can create their own custom appointment titles using the new Appointment Subject Field on the Add Appointment screen. This name will then become the default display with the appointment type following in parentheses. For more information on appointment creation, click here.

Fixed

  • Appointment Communication Configuration: Updated the Failed message on the Communication history to alert a user when the Communication Configuration has not been completed for a location. To send the email and SMS messages a user with access to Scheduler Settings will need to navigate to Settings > Scheduler > Scheduler Preferences > Communication and add the location(s) for which they wish to enable appointment communications.

  • Bulk Add Option for Resource Schedules: Fixed an issue where the Resource drop-down didn’t refresh to show the user list after making a selection. Now when a user makes a selection the entire user list will still show.

  • Delete Scheduler Appointment Type: Fixed an issue where Appointment Types that have never been used could not be deleted from Settings > Scheduler > Appointment Type.

  • Scheduler List View Print: Fixed alignment, spacing and an issue where data appeared in incorrect columns in the month view.

Release 1.5.0 - July 26, 2023

  • Allow Users to Add/Edit Appointments in the Past (User Permissions): There will be a new permission that can be added to a user which allows them to add and edit appointments on past dates. This function was previously limited to Super Admins only. For more information, click here.
  • Allow Users to Add/Edit Group Sessions in the Past (User Permissions): We are adding a feature called Add/Edit Groups for Past Dates, which will allow any user with this feature enabled to edit group session schedules or sessions for past dates. This feature is dependent on the number of days entered in the new Scheduler Preference “Number of days allowed to add/ edit Groups in Past”. Based on the number of days allowed, a user will be able to make changes to the start and end dates in the past as needed. For more information, click here.
  • Drop Group Sessions Button: There is a new Drop button that appears when editing an existing Group Session or Group Session Schedule. When clicked it will enter the current date and time as the end date and then remove all future occurrences from the Scheduler. For more information, check out this article.
  • Group Session Scheduling Transparency: When a user adds a group session or schedule to a patient, they will be able to see any current group assignments or schedules so that they are aware of any potential overbooking. For more information, click here.
  • Same Day Drop/Assign Group Schedules: Users can enter past dates when scheduling group sessions or group session schedules and when adding end dates for group sessions or schedules. For more information on assigning schedules/sessions, click here. For information on dropping group sessions/schedules, click here.
  • Schedule Overlapping Group Session: Users can schedule patients for overlapping group session occurrences. Allowing overlapping sessions is configurable by Location in Scheduler Preferences.
    • Quickly Identify Conflicting Group Sessions: There is a new conflict icon on the Scheduler view to indicate when more than one group session is scheduled for the same time. 
  • Schedule Overlapping Patient Appointments: Users can book patients for more than one appointment at the same date and time. Allowing overbooking and the number of allowed appointments to be overbooked is configurable by Location in Scheduler Preferences.
    • Quickly Identify Conflicting Appointments: There is a new icon that will appear on all views when there is a schedule conflict with another appointment so that users can determine if rescheduling is necessary.
       
  • Set number of overbookings allowed for a resource (Scheduler Settings): There is a field under Settings > Scheduler > Scheduler Preferences that allows Super Admins and users with the Manage Scheduler Settings permission to set how many overbookings are allowed for a resource. The maximum number is 90. The field below allows you to select which location (or locations) will allow overbooking. Click here for more information on Scheduler Preferences.
  • Set Add/Edit Past Appointments Days Limit (Scheduler Settings): There are two new settings under Settings > Scheduler > Scheduler Preferences that allow Super Admins and users with the Manage Scheduler Settings permissions to set how many days into the past you can edit appointments in the past, and how many days into the past you can edit, delete, or assign schedules/settings. Entering a number greater than zero will allow users to add or edit appointments on past dates up to that many days in the past. If the number remains zero, then no past appointments can be added or edited. Click here for more information on Scheduler Preferences.
  • View Assigned Group Sessions/Schedules: When you access Scheduler from a patient’s profile, the group session filter icon will have a drop down option so that you can view either the sessions or the schedule. The session option will display all sessions (including those associated to a group session schedule) while the Schedule option will only show the sessions associated to an assigned group session schedule. There is also a new column on the list view that will display the Schedule name. For more information on navigating Scheduler from a patient's file, click here.

Release 1.4.5 - July 11, 2023

  • Client Chart: When a user opens the Scheduler on the client chart it will now default to the List View instead of the Calendar View. For more information, check out this article.
  • List View: We’ve made updates to the List View column display order so that the more pertinent information displays first and in a more logical order. For more information on the List View, click here.
  • List View: Added a new column on the List View to display the day of the week the appointment occurs. For more information on the List View, click here.
  • Scheduler Preferences: The total number of overbookings allowed has been increased from 10 to 90. Click here for more on Scheduler Preferences.
  • Scheduler Printing: When you print documents, they will now default to landscape orientation for an improved viewing experience.

  • Scheduler: Users with the Manage Scheduler Settings permission can now see the Scheduler Settings tab accessed by clicking on their initials and then Settings. Release 1.4.0 - May 16, 2023

New

  • Add Group Session: When adding new Group Session Schedules or individual Group Sessions, the current date will now automatically populate as the start date. For more information, click here.

  • Filters: New icons have been created which allow users to filter more precisely between in-person and telehealth appointments and group sessions. The filters can be used in multiple combinations to generate a more precise list of appointments and group sessions. For more information on filters, check out our navigation article.

  • Find Availability: When enabled, the new Appointment Blocks only toggle allows users to view only the appointment blocks whose type matches the one selected from the Appointment Type drop-down. For more instructions on Find Availability, check out this article.

  • Find Availability: Added a new back button so that users can return to the Find Availability search screen after selecting an appointment time. For more instructions on Find Availability, check out this article.

  • Resource Schedules: Any user can now have a resource schedule created for them, regardless of their user role. Once they have a resource schedule, appointments can be created for them. Click here for more detailed information on Resource Schedules.
  • Resource Schedules: When creating a new resource schedule from a resource schedule template the Effective From Date will default to the current date instead of the template creation date. Click here for more detailed information on Resource Schedules.
  • User Feature: Individual users can now be assigned the View Only Access to Scheduler permission. This read-only option allows users to see, but not edit or modify, all appointments based on their location access. Check out this article for more information on User Permissions. 

Fixed

  • Add Appointments: Addressed an issue that led to a Failed to Fetch error appearing intermittently when attempting to add a new appointment on the Scheduler.
  • Add Appointment: Fixed a time zone issue that caused resources to be unavailable for some recurring appointments.
  • Resource Schedules: Users can now edit template names and include details about the resource schedule in a new description field, as originally intended.
  • Templates: Fixed an issue where users were not able to edit the Locations and Appointment types applied to existing or newly copied Schedule Templates.

Release 1.3.0: April 2023

New

  • Clients in the Pre-Admission status can now view and join telehealth appointments sent via Appointment Communication.
  • The Scheduler now takes overbooking settings into account when using the Find Availability option to find a recurring appointment timeslot (if enabled), as well as overridable breaks and appointment blocks.
  • The Group Schedule option is now the default selection when a user accesses Add Group Session from the Scheduler.
  • The Patient column in the Scheduler List view has been renamed Participant to reflect that individuals in the column may be patients or patient contacts (like a guardian or guarantor). 1.png

  • Users can now add notes to the Edit Group Session view. These notes are saved to the session and are both viewable and printable from the Scheduler and Patient page. 1.png

  • Users can now navigate between the different scheduler views using icons instead of the previous drop-down picklist. The most recently selected view will automatically load the next time the user opens the Scheduler. This enhancement reduces the number of clicks required to switch views.

  • The Waitlist View has been removed. Users can now view waitlisted appointments by using the Appointment Status filter and selecting Waitlist on any of the views.

  • The number of waitlisted appointments for the provider and time will display as a number on the waitlist icon. In this example, there is only one waitlisted appointment for that provider/date/time combination. 4.png

  • The conflict view has been disabled and is currently inaccessible. We are working on a future enhancement to make this view more usable in the future.

Fixed

  • Resolved an issue where overlapping group sessions and appointments were being sent to the wait list instead of saving.

  • Fixed a bug where group session times were showing as incorrect when exported to PDFs.

  • A bug that occurred when exporting the List View of Scheduler has been fixed.

  • Fixed an issue where clients were not receiving communications re-sent through the View Appointment option.

  • Addressed an issue where differing available appointment results appeared when using the Find Availability feature with no Resource selected.

Release 1.2.0: April 12, 2023

New

  • Users can now search for a recurring appointment date and time for different resources and then schedule a patient using the Find Availability tool. Additionally, users cannot schedule appointments for resources on nonworking days. For more information, see the article on scheduling appointments.
  • All Kipu users with access to a client chart can access a read-only view of the client’s Scheduler on the chart. image__24_.png

Fixed

  • Fixed an issue where the overbooking feature was not looking at partial overlapping, now it will allow a user to add an appointment that only overlaps with a portion of another appointment.
  • Resolved an issue where patients did not get a reminder notification when a staff member clicked on the Resend Communication option in View Appointments.
  • The Cancelation Reason now appears, as intended, when the user hovers their mouse over the Cancelled Icon in the Appointment View.

  • Discharged patients now appear in the Patients list on the New Appointment screen if there is no active chart. If chosen, users will be prompted to create a new Preadmission chart. For more information on creating new appointments, check out this article.
  • There is a new option under Settings > Scheduler > Scheduler Preferences that allows you to view the Appointment Notes field on the List View screen and include it when printing and exporting notes. For more information on Scheduler Preferences, click here.

  • Group Session API data endpoints are now provided to the Patient Portal team so that all group sessions scheduled for a patient will be displayed in the My Appointments section.
  • Clients will now be properly billed for the text messages they send from Scheduler. Messages created but not sent to patients who have opted out of receiving messages will not be included. Additionally, a new report has been created for billed text messages sent from the Scheduler. It includes the total number of messages triggered and includes the date range and time zone.

  • Fixed a bug where former group session occurrences were no longer displayed on the Scheduler when a group session template occurrence was edited and only the new group session occurrence was displayed.
  • The bug where users with resource schedules could not view Communication history when given the Manage Schedules permission has been fixed.
  • Fixed an issue where the telehealth icon was not appearing on the appointment card on the Scheduler. It will now appear on any group session occurrences that have been set as telehealth on the Group Session Template.

  • Fixed a bug where duplicate group session appointment cards were appearing on the Scheduler when only one should be showing.

  • Fixed an issue that caused an error message to appear when editing a recurring appointment with custom days to different custom days.

  • Users will now see the correct warning message when trying to schedule an Appointment Type not included in the resource's appointment block list.
  • Fixed an issue where providers, therapists, and other users with resource schedules, received a 500 error when they tried to access group sessions on the calendar.
  • Resolved a bug where users with the Manage Schedule permission got a 401 error when attempting to access group sessions on the calendar.
  • Fixed a bug where, when a location was removed from Appointment Communications, communications continued to go out to patients from that location who had recurring appointments.

  • Resolved a List View exportation issue where the Filtered On header appeared on the exported item when no filters were applied before the export.

  • The bug where users could not add another resource when editing an existing appointment has been fixed.

  • Fixed a bug where existing data did not display on the History tab of the Resource Schedule.

  • Fixed an issue where users creating an appointment that overlapped with a scheduled group session could not override the alert notifying them of the fact to save the appointment.

  • Fixed the bug where patients attempting to rejoin a meeting ended prematurely by a provider, due to accident or loss of connection, saw the wrong message which told them that the had been ended by the provider instead of the correct message informing them that the provider would start the meeting shortly.
  • The bug that allowed users to change the status of past appointments has been resolved.
  • Creating or editing a recurring appointment no longer creates a duplicate on the calendar.

Release 1.0.2: January 11, 2023 

New

  • A Super Admin can now enable the Text Communication option on Settings > Instance. There is a new agreement that will appear showing the pricing for these text communications.

  • A new user agreement will appear each time a Super Admin enables or disables the Text Communication flag in Settings > Instance. The user must click Agree in order for the change to take effect.

  • If a Super Admin disables the Telehealth flag under Settings > Instance, a pop-up message will appear to inform the user that all Telehealth functions in the Scheduler will be disabled. All telehealth appointments will be converted to regular non-telehealth appointments.

  • There is now a History tab on both the View and Edit screens of the Resource Schedule. This tab gives a detailed history of any changes to a Resource Schedule along with user details and time stamps.

Enhanced

  • The Enable Group Session setting has been removed under Settings > Instance. Now, when Scheduler is enabled, they will be automatically enabled. 

  • The beta label has been removed from the Schedules and Settings tabs.

  • When the Telehealth flag in Settings > Instance is enabled it will now allow a user with access to Manage Group Session Templates to set Group Session Occurrences as telehealth sessions.

  • When the Scheduler is enabled the Manage Schedules feature on the Manage Users screen will no longer display. 

  • The Name field now appears first in the Add and Edit Appointment Types section in Settings > Instance > Appointment Types.

  • The Find Availability feature is now also accessible from the Scheduler calendar icon on the client chart. The client name and location will autofill on the Find Availability screen when accessed from the client chart.

  • Users can now see the statuses for all forms added from a Scheduler Appointment.
  • Exported appointments and group sessions from the list view now display a new header that shows the export initiation timestamp and a list of the different filters applied to the data.
  • The appointments result list under Find Availability now includes a day column as well as a date column.
  • The ability to delete a Resource Schedule for a user is now restricted to the Super Admin role or the Manage Schedule Settings feature. All other users will not be able to delete their own Resource Schedule.
  • Super Admins now have the ability to enable and disable the Telehealth option in Settings > Instance. When enabled a user will be able to schedule appointments as telehealth appointments. They will also be able to mark Group Session Occurrences as Telehealth sessions.
  • When a user opens the Scheduler, the Group Session flag will now be preselected.
  • Once a user makes an initial save when editing a group session or group schedule from Scheduler, they will not have to click Save the second time.

  • When the Scheduler is enabled all Group Session Templates, Group Session Schedule Templates, and all assigned client Group Session Schedules will automatically migrate to the Scheduler. The user no longer has to manually process the Group Session import.
  • When editing an Activity on the Resource Schedule the user no longer has to update the Effective From date to a current or future date. They can keep the original Effective From Date listed.
  • When a user creates a Resource Schedule, any activities created that fall outside of working hours on any given day will not appear on the Scheduler in Calendar View.

  • Fixed a bug where overbooked appointments could be created when the Overbooking option was set as None on Settings > Scheduler > Scheduler Preferences.
  • Exported data now appears in the same order it appears in the Scheduler UI.
  • Resolved a bug in Add Appointments where, if a user had more than one resource selected, unselecting one or more resources did not remove them from the selection. Now, when a resource is unselected, it is removed from the resource section as expected.
  • Users can now delete a future group session that has not yet occurred for an assigned client.
  • The list view of exported appointments now sorts by date in ascending order by default unless the user sorts from the List View first.
  • The error message that appears when a user does not yet have a Resource Schedule and tries to access the Scheduler has been changed to read “You do not have a resource Schedule, please contact your Super Admin”.
  • Fixed a bug that prevented the Preferred Days option in Find Availability from selecting and deselecting properly based on the choices in the drop-down menu.
  • Updated the error message that a client sees when they attempt to use an old zoom link when a new one has been re-sent for any reason.
  • Fixed an issue where, when a resource was removed from an appointment, the notification email was not sent to them.
  • Resolved an issue where clients did not receive all the cancelation emails they should have after their chart was deleted. 
  • Fixed a bug where ending a recurring appointment series on a future date also deleted appointments that would occur prior to that date.
  • Corrected an error where Alias names for Appointment Types were not displaying on the List View of Scheduler.
  • Scheduler now displays the correct error message when a user tries to schedule an appointment for a client during a time slot where they already have a group session scheduled.
  • Newly added group session templates now appear in Scheduler's Group Session drop-down list, as expected.

Release 0.9.8.22: December 13, 2022

New

  • A new Activity Block type has been added to Schedule Templates and Resource Schedules which allows users to create Administrative Time blocks. This activity block prevents appointments or group sessions from being scheduled during the timeslot unless the Override checkbox is checked during setup. 

Enhanced

  • Working Hours are no longer required to be added prior to other Activity Blocks when building Schedule Templates or Resource Schedules. 
  • The Allow Override toggle is disabled by default for Break activity types.
  • The Default Start date for activities will be blank when editing an existing Resource Schedule. 
  • Group Sessions and Appointments cannot be scheduled past the patient's discharge date. 
  • Appointment status is now available in the file downloads for group appointments and group sessions. 
  • Previously, the number of records was restricted when downloading a file from the List view. Now, there is no restriction on excel and CSV record count. PDF downloads will only display the first 1000 records.
  • Telehealth appointments can be created for patients without a valid email address if the patient's contact (guardian/guarantor) has a valid email and has been added to the event. 
  • The email communication statuses have been updated to show the following statuses under the Communication tab:
    • Pending: Email is being sent to the delivery service.
    • Sent (green): Email has been delivered to the service.
    • Delivered (green): When we get a ‘Delivered’ response from the email service.
    • Bounced (red): When we sent the request to the email service, it bounced (the request was not received).
    • Error (red): There was an error sending the email. 
    • Failed (red)- The email was not sent to the service. This can happen when we do not have a communication configuration on the preferences page.
  • Now only guardians and guarantors' contacts will be displayed in the list of patient contact while scheduling a single patient appointment.
  • Now when ‘Show in Calendar’ is turned off for an appointment status (like No Show) then the appointments will not be visible on the patient’s scheduler or main scheduler.

Fixed

  •  The Group Session name was not appearing within the Scheduler Icon on the Patient Chart. This has been fixed and the group session name displays in the List view. 
  • Therapists will only see group sessions assigned to them or group sessions without a leader on the Scheduler. 
  • In the case of recurring appointments, the Appointment Date field will only be disabled when Edit Series is selected. If Edit Occurrence is selected, users can update the date to reschedule the individual appointment.
  • Previously all patient contacts appeared when scheduling an appointment. Now only guardians and guarantors' contacts will be displayed in the list of patient contact while scheduling a single patient appointment.
  • Text message communication will not be available for instances that have not enabled the Text Communications instance setting. 
  • Fixed an issue with the Arrive status transition in the Workflow view.
  • Fixed an issue where appointment types were disabled when editing an Appointment Block activity type in an existing Resource Schedule. 
  • Created consistency in date formatting and data available in appointment and group session exports throughout the scheduler.
  • Template Name and Template Description are disabled on the Add Resource Schedule page. 
  • The file downloads for the List / Conflict Views are now formatted the same way.

Release 0.9.8.15: November 29, 2022

  • Resource Schedules now allow Breaks and Appointment Blocks to be scheduled at the same time as Out of Office blocks. On the day(s) where the Out of Office blocks are scheduled, the Out of Office will supersede all other Activity Types.
  • You can now view the appointment status for single-patient appointments in the List View.
  • Email communication about the patient's appointment or group session will automatically include the appointment or session ID in the subject line to increase deliverability.

Release 0.9.8: November 15, 2022

Enhanced

  • Users can now change the Group Leader from the Group Session screen while a group telehealth session is in progress, allowing the new leader to join the session as a cohost and the previous leader to leave if needed. 
  • The patient process has been removed from the Group Schedules drop-down in the Add Group Schedule window as this field is no longer relevant. 
  • Performance enhancements have been made across the scheduler to decrease calendar loading times and increase the speed of scheduling appointments, group sessions, and schedules.

  • Previously patients were unable to join telehealth Group Sessions from the link provided and received the following error "Authorization has been denied for this request. please contact your Practice Administrator." This issue has been resolved and patients can now attend Teheleath Group Sessions. 
  • Previously Super Admins and Group Leaders were unable to start the telehealth meeting for scheduled Group Sessions and received the following error "Authorization has been denied for this request. please contact your Practice Administrator." This issue has been resolved and users can now start Teheleath Group Sessions. 
  • Fixed an issue where Patients and EMR users were unable to start or join recurring appointment telehealth sessions migrated from the legacy Calendar.

  • Super Admins can create and edit appointments that occurred in the past. This feature must be enabled in the Scheduler Preferences prior to use.
  • Added a Conflict View to allow users to resolve conflicting Group Sessions that may occur when recurrence patterns are changed in Group Sessions. Click here to learn more.

Enhanced

  • All fields on the Edit Resource Schedule page aside from the Activities can only be changed by Super Admins. This prevents users from making updates to the Resource Schedule from the My Schedule tab. 
  • Adding a patient to a Group Session from the session page automatically adds the patient to the Group Session in the Scheduler. 
  • Modifying a Group Schedule Template automatically adds the patient to the newly added occurrence(s) or removes the patient from deleted occurrence(s).
  • The Patient Processes drop-down has been removed from the Schedule Templates, as Schedules are now assigned to patients from the Scheduler, not the patient chart. 
  • Discharging or deleting a patient record automatically removes all future booked appointments and group sessions from the Scheduler.
  • Group Session Templates cannot be deleted when at least one patient is assigned to an occurrence within the session.
  • Scheduler appointments will now display in the My Appointments section of the Patient Portal. 
  • An Alias field has been added to the Edit Company, Edit Location, and Add/Edit User pages. You can use this field to set an external display name for the company, location, or user that will appear in patient-facing areas like the Patient Portal.
  • A History section has been added to the View Resource Schedule page to view a change log related to that resource schedule. 

Fixed

  • Users will not be automatically timed out when working in Scheduler.
