Kiosk Overview and Settings

MAT facilities can take advantage of the EMR's self-service Kiosk, allowing patients to check themselves into the facility. By seamlessly integrating with Queues, Flags, and the Patient Ledger, patients can review messages added to their account, pay outstanding balances, and be routed to the appropriate queue all without speaking to a front desk representative, increasing efficiency and decreasing manual touchpoints. Important: To use the Kiosk Feature, your facility must have the Queues enabled.

Kiosk Hardware Recommendations

Kiosk is a web-based application that will work on any modern browser and has been optimized for touchscreen devices. To take full advantage of Kiosk functionality, we recommend choosing a device that allows you to connect a 2D barcode scanner via USB (to allow patients to scan their ID). For organizations also taking advantage of the Stripe Payments integration, a device that supports Bluetooth connection allows users to connect a Stripe terminal. Most facilities use the following hardware: 

  • Device: Microsoft Surface Pro Tablet or any other touchscreen tablet that has a USB connection port. 
  • Barcode Scanner: Use any 2D barcode-compatible scanner from any brand.
    Before patients check in through the kiosk using a State ID or driver’s license, complete the steps below for the 2D barcode scanner.
    • Step 1: Scan this barcode to disable all symbologist (5.1.3).

    • Step 2: Scan this barcode to enable PDF 417 (5.3.1).
  • Enclosure: No preference, any lockable form factor like as Maclocks or similar. 
  • Payment Processing: BBPOS WISEPOS® E (or any Stripe-recommended terminal which supports Server-Driven applications). 
  • Windows 10 Pro/Windows 11 (optional): Microsoft has a Kiosk user mode, which, when the user is signed in, locks the display into a full-screen browser window tied to the specified URL. This way, there is no address bar or way to leave the browser, and there are no navigation buttons. These precautions are in place to prevent patients from navigating away from Kiosk. 

Key Kiosk Settings

There are a few setup items specific to kiosk that can help increase the efficiency of the tool.

  • Appointment Types for Check In: Automatically check the patient into the correct Queue based on their scheduled appointment type. This functionality can also display a message for the patient. Click here for instructions.
  • Kiosk-specific Flags: Configure Flags that can be added to the patient chart, including Visible to Patient and Prevent Kiosk Check-in flags. Click here to learn more. 
  • Collect Payments: Facilities using the patient ledger stripe integration can collect credit card payments for the patient's outstanding balance prior to check-in. Click here for instructions.

Create a Kiosk Display User

Each kiosk setup will require a unique Kiosk user profile. The Kiosk mode is accessed by logging into Kipu as a user with the Kiosk role. 

  1. To create a Kiosk user, click on your initials and select Manage Users.

  2. Click the New User button.blobid0.png
  3. Enter a first name, last name, and mobile in the appropriate fields.
  4. Next, add a valid email address. This email must be valid, as the instructions for account creation will be sent to this email and are the only way to set up a password to gain access to the account.

  5. Select the preferred method for receiving your secondary authentication code from the drop-down if two-factor authentication is enabled in your instance.blobid3.png
    • Note: if you select Text or Text + Email, the user profile must have a valid mobile phone number entered. 
  6. Select a single location from the Locations section. A separate Kiosk Display User will need to be created for each location that needs to use kiosk. blobid4.png
  7. Under the External section, check the Kiosk box.blobid5.png
    • Please Note: once you select Kiosk, all other features and roles are intentionally disabled to prevent additional access. 
  8. Enter a password and confirm it. Then, click Register.blobid6.png
  9. Once the device is registered, log into your instance using the Kiosk credentials you just created (username and password) and Accept the Terms and Conditions.blobid7.png
  10. You are ready for patient check-in via the Kiosk.  mceclip1.png
    • Note: The Kiosk user will log you out of the system after 6 hours of inactivity. Typically Super Admins or other authorized users will need to log into the system each day with the Kiosk Credentials.
