Patient Programs

Patient Programs allow you to create the custom programs offered by your organization (e.g., Detox, Sober Living) and assign patients to a program.

These programs allow you to group together patients and create custom filters for sorting your patient census. Once a patient is assigned to a program, program information will display on the patient landing page, occupancy view, and bed board.

Set up Patient Programs

Super Admins can complete the following setup steps.

Instance Settings

  1. Click on your initials and select Settings.
  2. Open the Instance tab and locate the Patient Programs settings. Tip: use Ctrl + F (Windows) or Cmd + F (Mac) to search on the page.mceclip0.png
  3. Check the box for Use Patient Programs? mceclip3.png
  4. From the Title for Patient Programs section, you can rename Programs to something else, like Tracks, Steps, etc. Type that name into this field following proper capitalization. 
    • This renames each section of the app from Program to whatever you specified, in this example, we renamed Programs to Tracks. mceclip2.png

Create Patient Programs

  1. Click on your initials and select Settings.
  2. Open the Patients tab. This is the first tab within the settings menu and may have a different name e.g., Clients, depending on your setup.  
  3. Locate the Patient Programs section. mceclip4.png
  4. To add a new program, click Add item. 
  5. Name the program. Please avoid using special characters in the program label to prevent issues with reporting. mceclip5.png
  6. Use the Color menu to select a color. This color appears as the background of the patient tile when added to the patient record on the patients' page and occupancy views.
  7. Use the Locations drop-down to select which Locations offer this program (only for organizations with a master instance).mceclip6.png
  8. Click Update after adding each Program to save. 

Assigning a Program to a Patient

When creating or editing a patient, the Program can be added to the patient's facesheet. 

  1. Open the patient chart and click Edit Patient. mceclip10.png
  2. Select a Program from the Program drop-down. This drop-down can be named something else depending on your instance settings. mceclip7.png
  3. Use this process to update the program assigned to the patient at any time. You can view the patient's program history by clicking on the Hx button. mceclip8.png
  4. Review information on when the program was updated, when, and by whom. mceclip9.png

Viewing Patients by Programs

From the Patients page, users see which program the patient is assigned to based on the background color of their patient tile (which is the same as the assigned program color). This is also visible in the occupancy view and bed board. You can also view only patients in a specific program by clicking on the program's filter button.
