Dashboard: Inventory

The Dashboard Inventory tab allows users with the correct permissions to view facility and patient inventory details, including items that are running low, fully depleted, or are missing from patient orders that have never had inventory added. 

Required Permissions: Users with the Dashboard and Inventory permissions.

Set-Up

In master instances, a super admin should navigate to Settings > Company and select the ? checkbox to enable the feature. 

For instances with a single location, or if the setting is enabled in the Company tab but the Inventory tab has not appeared in the Dashboard, navigate to Settings > Instance, and select the Enable Inventory Dashboard setting.

Once the feature is set up, users with the Dashboard and Inventory permissions will find the tab under Dashboard > Inventory.

You will land on the Facility tab by default. 

Search Options

You can use the following search options to search for/filter by specific criteria.

  • The Facility and Patient tabs have nearly identical search options.
    1. Medications: Begin typing in the name of the medication, then select the correct option from the drop-down.
    2. Patient Name: Begin typing in the name of the patient, then select the correct option from the drop-down.
    3. Quantity Remaining <: Enter a number to search for medications with remaining quantity less than the number entered.
    4. Inventory Status: Select an inventory status from the drop-down to return results in the chosen status.
    5. Start Date: Enter a start date to view results that were created on or after the date entered.
    6. End Date: Enter an end date to view results that were created on or before the date entered.
    7. Controlled Substance: Select this box when you are searching by options other than medication name and want to only view the controlled substance medications. Otherwise, the search will return both controlled and regular medications.
    8. Order Without Inventory: This option is only available in the Patient tab. Select this option to locate orders that do not have inventory associated. The results will not include Quantity Remaining and Inventory Status columns
    9. Search: Click to search using the chosen search options
    10. Clear Filters: Clear all set filters

Facility

You will land on the Facility tab by default. This tab shows the facility's inventory.

  1. Medication: The name, strength, form, and route of the medication
  2. Location: The facility whose inventory contains the medication
  3. Inventory: The status of the inventory.
    • N/A: Means the facility's stock of the medication is not depleted or low.
    • Facility Inventory Low: The facility's inventory quantity has hit the value entered in the Quantity Replenishment field in the Facility Inventory.
    • Facility Inventory Depleted: The amount remaining in the facility's inventory is 0.
  4. Starting Quantity: The total amount of medication in the inventory when the order was created
  5. Quantity Remaining: The current amount of medication
    • The green + indicates that when the medication was added, refills were allowed. Clicking on it will take you to the Facility Inventory.

Patient

  1. Patient: The name of the patient for whom the medication was ordered
  2. Order: The name of the medication ordered
  3. Ordered By: The name of the provider who ordered the medication
  4. Inventory: The status of the inventory
    • N/A: Means the patient's stock of the medication is not depleted or low.
    • Patient Inventory Low: The patient's inventory quantity has hit the quantity entered in the Quantity Replenishment field in the patient's inventory.
    • Patient Inventory Depleted: The amount remaining in the patient's inventory is 0.
  5. Starting Quantity: The total amount of medication in the inventory when the order was created
  6. Quantity Remaining: The current amount of medication associated with the order.
    1. The green + indicates that when the order was created, refills were allowed. Clicking on it will take you to the Patient Inventory tab.
