CollaborateMD (CMD) has successfully transitioned to our new patient statement vendor, DataMedia (DMA), effective November 12, 2025. This change delivers a cleaner, more modern design that improves readability and overall billing clarity for patients.
To ensure automated patient statements continue sending correctly, each practice is required to review and save their statement templates in CMD after the transition.
What’s Changed
- New Statement Layout: Cleaner design with simplified activity listing.
- Fewer Message Fields: Only three customizable message fields for a more concise layout.
- No Cover Page: Extra pages removed for shorter, more efficient statements.
- Automatic Field Copying: Required fields were pre-filled from your existing templates.
- Scope: Applies only to automated statements (statements, payment plans, and FDNs). Enhanced user print statements are not affected.

Action Required (On or After November 12, 2025)
To prevent disruption to automated statement delivery, please review and save each active statement template for every practice in your CMD account. You can complete this update on or after November 12, 2025, once the new vendor transition is live.
Log in to CollaborateMD.
Navigate to Customer Setup > Statements.
Use the magnifying glass icon to search for your practice(s) and open each active statement template.
Review each pre-filled field carefully and adjust any details as needed.

Under Paper Statement Options > Charge Breakdown, choose your preferred view:
Summarized Activity: Select this layout to show each charge on a single line, including charge details, payments, adjustments/discounts, and balance owed.
Detailed Activity: Select this statement layout to show one line for each charge, payment, adjustment, and info line.
Once you have reviewed all fields and made any required changes, click Save.
Repeat this process for each additional practice you manage.
⚠️ Important: Automated statements will not send until all templates are reviewed and saved on or after November 12.
Communicate With Patients (Optional)
If patients notice a change, you can share:
“Our billing partner recently updated the patient statement layout on November 12, 2025, to make billing information clearer and easier to read. The billing details remain the same; only the design has changed.”
