Kipu Analytics: Kipu Intelligence

This report gives you clear visibility into license usage across your organization, including how many licenses have been purchased, how many are assigned, and which users they’re assigned to. For more detailed information on Kipu Intelligence permissions, check out this article.

Required Permissions: Super Admins and Users with the Kipu BI Admin permission can view this dashboard by default. Other users can be given access by checking the Kipu Intelligence box in the Kipu BI Reports section in User Management. Additionally, Kipu Analytics must be enabled under Settings > Instance.

Data Refresh Schedule

The data presented in the BI Dashboards is not updated in real time, which means there is a delay between when data is entered into the EMR and when it is viewable in the BI Dashboards. Instead, there are four scheduled BI data refreshes each work day at 3 AM, 9 AM, 1 PM, and 5 PM. There are two scheduled refresh periods on each weekend day at 3 AM and 3 PM. All times are EST.

Note: These BI data refresh periods typically last 4-6 hours and while the refresh process is uploading to the dashboards (usually the last 2 hours of the process) data may not be present or may be incomplete.

Data entered after a refresh will not be reflected in the dashboards until the following refresh is completed. When using the dashboards for analysis it is recommended to use yesterday as the most recent time period to ensure you are working with a complete data set.

Each subtab displays the date and time of the last refresh in UTC.

Kipu Intelligence Dashboard

To begin, click Reports > Kipu BI > Kipu Intelligence.

Click on the header below to expand the Kipu Intelligence settings.

  • There are a few icons and elements that are the same across all tabs.
    • Below the tab that includes the Operations, Kipu Intelligence and other options, you will find a number of icons. The circular arrow refreshes the data, while the back and forward arrows undo and redo changes, respectively.
      • If you click on the icon of a down arrow in a box, you will access the following drop-down list.
      • Use the options provided to print the current tab to or download it as a PDF file. Clicking View downloads will allow you to view all downloads created from that tab previously, and to download them again.
      • If you hover over each drop-down widget, three dots will appear. These can be clicked to access the Reset and Refresh options.
      • Each widget in the Kipu Intelligence section has options that can be opened by clicking on the empty space at the top right of the widget. The two arrows allow you to expand the widget to full screen, while the three dots allow you to vie summary data and export the data in the widget to a CSV file. You will see the options indicated in many of the following screenshots.

License Allocation

Each section in the License Allocation report relates to a specific license.

If you see “No data” for a AI offering, that feature is not enabled for your instance. To learn more about acquiring additional AI features, please contact your Account Executive or Client Success Manager, or email clientservices@kipuhealth.com.

This section shows data about chart snapshot, chart assistant, note assistant, and note audit licenses.

  • Licenses Purchased: Shows the total number of purchased licenses in your instance.
  • Licenses Allocated: Shows the total number of licenses in use.
  • Unassigned Licenses: Shows the total number of unassigned licenses.
  • Allocated %: Shows the percentage of used licenses.

The following widgets will dictate which elements appear in the User Detail table.

  • Name of User: User names are listed in alphabetical order in a multi-select drop-down with checkboxes. You can also search for the desired user using the Search Value field. If you enable the Show Selected toggle, you'll see a list of only the users you selected.
  • License Type: License types are listed in alphabetical order in a multi-select drop-down with checkboxes. You can also search for the desired license type using the Search Value field. If you enable the Show Selected toggle, you'll see a list of only the license types you selected.
  • Permissions: Permissions are listed in alphabetical order in a multi-select drop-down with checkboxes. You can also search for the desired license type using the Search Value field. If you enable the Show Selected toggle, you'll see a list of only the permission types you selected.
  • Date/Time Assigned: The date and time that the license was assigned. You can choose a relative date and the relative by unit (years, quarters, months, weeks, days, hours, minutes) or an absolute date range. Type the desired date range in the fields, or pick them from the calendars.

User Detail

Click on the header below to expand the User Details settings.

  • The following options are available in the User Detail chart.
    • Click on any of the headers to reveal the following 

      • Sort Order: Sort the column in ascending or descending order.
      • Aggregate: Click on this option to chose the 
      • Format: Choose the date format display.
      • Hide: Hide the column
      • Move Left/Move Right: Move the column to the left or right.
      • Freeze Column: Freezes the column so that when you scroll, it will remain visible.
      • Freeze up to this column: Freezes columns up to the selected one so that they will remain visible when you scroll.
      • Remove: Removes the column from the table.
      • Customize: Opens the Customize side panel.
      • Reset Visual: Resets the settings to their default state.
    • In addition to the above, you have the following setting and filter options. 

      1. Customize: Opens the Customize side panel.
      2. Maximize: Expand the table to take up the entire window. 
      3. Sort Visual: Set the order sort view of the data in the table. You can add additional sort by requirements.
      4. Menu Options: Click to export to CSV or Excel.
    • The Customize side panel allows you to edit which columns appear, and to order them as desired. 

      1. Pin to Sidebar: Click on this icon to keep the Customize sidebar open without overlapping the information on the page.
      2. Close: Click on this icon to close the sidebar.
      3. Three dots: Click on this icon to hide, remove, or sort.
      4. Value: Click on the Add Field area to add additional columns.
      5. Reset Visual: Reset the options to the default.
  • Name of User: The name of the user with Kipu Intelligence permissions assigned to their profile.
  • License Type: The license type assigned to the user.
  • Permissions: The specific permission tied to the license type.
  • Date/Time Assigned: The date and time that the license was assigned to the user.
  • Profile Status: The status of the user's profile.
