Why Is the Incorrect Location Appearing on the Billing Report When the Correct Location Displays on the Facesheet?

Issue

The Billing Report displays a different location for the billable item than the one shown on the patient's facesheet. The incorrect location appears in the billable item.

Environment

Resolution

This typically occurs when the client has multiple locations assigned to their chart for the same Start Date.

  1. Navigate to the patient's chart in the Kipu EMR and verify the location on the facesheet.
  2. The system assigns the location to the date of service (DOS) based on the Start Date of the Location, which you can check by clicking on the Hx button.
  3. If two or more locations share the same start date, the system will use the most recently logged location.
  4. To resolve, please delete the incorrect location assignment or assign a new location to the patient account with the correct start date. 

Example 1

The system assigns the location to the Date of Service (DOS) based on the Start Date.  In this scenario, for any DOS on or after 01/27/2024, the system will use the assigned RTC location.

Example 2

If two locations are entered with the same start date, the system will apply the most recent entry for the location in the billing report. In this scenario, the system would choose the Outpatient Location because it was logged at 5:05 pm, whereas the RTC location was logged earlier at 4:53 pm.
