CollaborateMD: How do I modify existing procedure code rates?

Issue

There has been a new rate increase, and I need to update all the codes in CollaborateMD. How do I add new rates (dates) without terminating the old ones?

Environment

CollaborateMD, Roles: Admin/Authorized Rep, Features: Customer Setup, Procedure Codes

Resolution

There are two ways to update procedure code rates in CollaborateMD. 

  1. Update the default price under Codes > Procedure
  2. Creating a new Fee Schedule for the same procedure codes (in the event you don't want to delete the old fee schedules) and adding new rates with a new effective date.

Procedure Codes 

Follow these steps in CollaborateMD to modify existing procedure code rates individually: 

  1. Go to Customer Setup then select Codes > Procedure.

  2. Select the procedure code you want to update.
  3. Locate the Default Price field in the Claim Defaults section, and enter the new default price for the code.

Fee Schedules

You will follow these steps to create or modify existing fee schedules to add specific rates based on a date range in mind:

  1. Go to Customer Setup , then click Codes > Fee Schedules.

  2. You can create a New Fee Schedule or modify an existing one by searching or selecting Show All to search for one in particular. 

New Fee Schedule

You have several option when creating a New Fee Schedule.

  1. Create an empty fee schedule: This option allows you to create a new fee schedule with no existing data from your CollaborateMD account.
  2. Set prices based on another fee schedule: This option allows you to create a fee schedule and set prices based on another selected Fee Schedule. You can also use this method to adjust prices.
  3. Set prices based on the Medicare Fee Schedule: This option allows you to create the fee schedule based on a specific Medicare fee schedule year. 
  4. Set prices based on a Contract: This option allows you to set procedure code prices based on maximum price across all of your contracts or to base your procedure code prices on a specific contract. 
  5. Set prices based on charges entered: This option allows you to set the prices based on the maximum allowed amount entered within a certain amount of days. 
  6. Import prices: This option allows you to import your own .csv or .xls/xlsx fee schedule documents.

Configuration

From the Configuration tab on the right side of your Fee Schedule, you can choose how the fee schedule will be applied. 

  1. Apply based on payer, payer type, or patient type: This option allows you to apply this fee schedule to a specified primary payer, primary payer type, or patient type.
  2. Apply based on location or provider: This option allows you to apply this fee schedule to a specified rendering provider, rendering provider’s practice, facility, or facility and provider.

  3. Apply based on Place of Service or Type of Service: This option allows you to apply the fee schedule to a specified POS or TOS.
