The Inventory Transactions report contains all medication transactions logged in facility and patient inventory.
Required Permissions: Super Admin, Records Admin, and users with the Manage Medication Inventory feature can view this reporting tab.
Inventory Transactions
Let's review the available filter options within the Inventory Transactions tab.
- Open the Inventory tab, then search Transactions.
- You can filter the transactions by Medication and add one or more medications as needed.
- Narrow results by facility or patient inventory using the Inventory Type drop-down.
- You can also filter by one or more Transaction Types based on the data you are looking for (e.g., Received, Dispensed, Spillage, Med Count, etc.).
- Received: Medication accepted into the Facility or Patient Inventory.
- Dispensed: The amount of medication given to patients.
- Spillage: The amount of medication recorded as spilled in the inventory.
- Med Count: Transactions that were manually added to bottles to specify the physical count of the medication.
- Transferred In: The amount of medication transferred into a bottle.
- Transferred Out: The amount of medication transferred out of a bottle.
- Transfer to Another Location: The amount of medication transferred to another location within the Master Instance.
- Refill: Replenished supply of medication (only available for Patient Inventory).
- Add: Quantity of medication added to the current bottle (only available for Patient Inventory).
- Return to Inventory: The amount of medication returned to the facility inventory.
- Set In Use: Bottles set in use by a staff member.
- Set Not In Use: Bottles available in inventory but set as not currently being used.
- Waste: The amount of medication recorded as wasted.
- Disposed: Discarded transactions manually added to the bottles.
- Spilled Dispense: Dispensed transactions marked as spilled. This is primarily used in MAT facilities.
- Waste Dispense: The amount of medication recorded as wasted by the re-dispense functionality. This is primarily used in MAT facilities.
- Close: The medication bottle has been closed in the system.
- Open: The medication bottle has been opened in the system.
- Unit Dispense: The amount of medication dispensed from Unit Inventory. This is primarily used in MAT facilities. Note: The Pre-Pour feature is only available when Unit Inventory is enabled in MAT Settings.
- Filter by one or more Patients.
- You can further refine your search by adding a date and time range. Select the date from the calendar and adjust the time using the sliding bars if necessary. Click the Now button in the calendar pop-up to report the current date/time. Click Done to complete.
- Click on Advanced Search for additional filter options, including:
- Strength: Enter a specific medication strength.
- Rx/Serial Number: Enter a specific Rx or serial number.
- Performed By: Filters by one or more users who performed the transaction.
- Once you have added the desired option(s), click on the Search button.
- If the report doesn't return the results you're looking for, click Clear All Filters to remove any previously selected options and try a different set of filters.
Review the Report
This section provides the facility Inventory Transactions based on the selected filters. You can update the report results by changing the filters selected and sorting your results by clicking on the report column headers.
Clicking on the hyperlinks allows you to retrieve inventory transactions and review activities in detail.
- Click on the Medication field to review all transactions related to that Medication.
- Click on the Transaction type to view the individual Transaction details.
- Click on the Patient to open their chart (patient inventory results only)
You can also export this report to CSV for further manipulation.
