When using both Patient Inventory and Facility Inventory, you can transfer medication from the facility's inventory to the patient and back when the Transfer from Facility Pharmacy Instance setting is enabled.
Transfer Medication from Facility Inventory to Patient Inventory
When adding patient inventory for a medication that exists in the facility inventory, use the Transfer from facility pharmacy checkbox to fill the patient's medication with the specified amount from the facility's In Use bottle.
- From the Doctor's Order or Med Log tab, click No Patient Inventory.
- Most of the fields will already be completed. Enter an optional Rx No., enter the Received Date and Time, and add an optional Witness.
- Click Sign and Submit and add your signature to add the medication to the patient's inventory.
- This will create a Transferred Out transaction in the Facility Inventory and a Transferred In transaction in the Patient Inventory.
- If you need to cancel or revert this action, you can cancel the Received transaction in the Patient Inventory by clicking on the X or transfer medication back to the facility inventory (see the steps below).
Once the medication in the patient's inventory is linked to the facility's stock, all refills for this medication for the patient inventory will be automatically pulled from the facility.
Transfer Medication from Patient to Facility Inventory
When the patient is ready for discharge, or the medication has been discontinued, you can move the remaining medication from the Patient Inventory back to the Facility.
Note: You can only move the medication that has been previously transferred from the Facility Inventory.
You can do this by following these steps:
- Navigate to Inventory > Patient and select a patient from your current census.
- Click on the Medication you want to transfer back to the facility's inventory.
- Click Add Transaction.
- From the Transaction Type drop-down, select Transferred out.
- Enter the Quantity you want to transfer back to the facility's pharmacy, the Performed Date and Time, and any of the optional fields.
- Click Sign and Submit and add your signature to complete the transaction.
- This creates a Transferred Out transaction in the Patient Inventory.
- This also creates a Transferred In transaction in the Facility Inventory. If you need to cancel or revert this action, click on the X.
Switch to Facility Inventory
You can also use the Switch to Facility Inventory action on the Med Log or Doctor's Orders chart tabs to transfer the remaining pills from the patient's inventory back to the facility.
You must check the Transfer medication to a new bottle box to transfer the medication back to facility inventory.
Click Sign and Submit.
