Quick Text

The Quick Text feature is intended to allow users to create and save formatted text and/or data point templates to their individual profiles for use in any Evaluation text box field. 

Required Permissions: To use Quick Text, users must have the Manage Quick Text feature enabled in their user profile. This feature is not included in any user profiles by default, however, you can use the Assign Roles functionality to quickly add this feature to multiple user profiles.

Enable Quick Text

You can enable Quick Text in your Instance Settings. Click here to learn more. 

Create Quick Text Templates

Users can create and manage templates from their user profile or within the Evaluation.

  • User Profile: Click on your Initials and choose Quick Text. This automatically opens the Quick Text tab in the user profile.
  • Evaluations: Open any evaluation in a patient's chart that contain a text field, then click on the edit icon. 
    • From the text box fields, you can click on the Insert icon in the corner to open the Quick Text modal.

Create Quick Text Templates

From the Create tab, you can create custom content that includes text and data fields to build reusable templates. Data Fields will automatically pull in matching patient information like date of birth, just like how they behave in Consents and in the Formatted Text field in evaluations.

Important: All custom-created content is user-specific and cannot be shared.

  1. To begin, give your custom content a title, then enter the desired text and use the Data Fields column to insert the desired data points.
    1. Search: Use the search field to locate a specific data field by name.
    2. Data Fields: Currently, there are only 16 data fields. If you click on one, a placeholder will appear in the custom content box where your cursor is located. When the quick text template is added to a patient chart, the placeholder will be replaced with the patient-specific information.
      1. Important: If a specific patient's facesheet does not have the data necessary to replace the placeholder, there will be a blank space where the data point should have appeared. 
    3. Navigation: You can use the arrows at the bottom of the column to move to the next page of data field options. 
    4. Content Title: Enter the template title here. This field must be filled out before you can save your template and must be unique.
    5. Formatting Tools: Use these options to format your text.
    6. Content Box: Create your text template here. You can make this template as long as you need and can copy and paste text into this field from another source such as an email, document, or other text-based communication.
  2. Be sure to save your changes before closing the window.

Manage Quick Text

Once you have created and saved your content, you will be able to quickly review and update it via the Manage screen. This tab appears in both views.

  1. Search: Use the Search field to search for a template by name.
  2. Enabled: The Template will only appear in the Insert tab if it has been enabled here. If you have a template that you do not wish to delete, but no longer wish to see in the Insert tab, disable it here. You can sort the template list by enabled or disabled templates by clicking on the header.
  3. Title: The titles given to your templates will appear here. You can sort by title by clicking on the header.
  4. Edit: You can edit a template by clicking on the pencil icon. 
  5. Delete: You can delete a template by clicking on the trash can icon. 
  6. Navigation: If you have created more templates than fit on the modal, you can use the arrows to view your other templates.

Insert Quick Text

Now that you have created a Quick Text template, you can add it to an Evaluation text box from the Insert tab. The Insert tab only appears when you access the Quick Text screen from an Evaluation text field.

  1. To begin, click on Patients, then select the desired patient's tile and click Evaluations.
  2. In a text box field click on the icon in the upper right corner of the box. It looks like four rectangles.
  3. If you have not yet created any templates, the modal will appear as follows:
  4. If you want to insert Data Fields, you can do that without creating a Quick Text template. However, if you want to create a new template, click on Create Custom Content. You will be taken to the Create tab (see instructions above).6.png
  5. To insert custom content, click on the title in the Custom Content column.
  6. You can use the search bar to locate a template by title, and if you have a long list of templates, you can also use the arrow buttons which will appear at the bottom of the column.
  7. You can add as many custom content pieces, including multiple instances of the same content, by clicking on the desired piece or pieces. The text for these selections will appear on the line below the spot where your cursor is located. 
  8. You can also add individual data fields by clicking on the desired item(s) from the Data Fields list.
  9. You can locate specific data fields by using the search bar and navigate to the previous or next page on the list by using the arrows at the bottom.
  10. If you are only entering a data field, it will appear on the same line beside the cursor.
  11. As with the custom content, you can add as many data fields to the text box as needed, including multiple instances of the same field, simply click on the field each time you'd like to add it. 
  12. Here is an example of a template as it appears in the Create tab, and as it appears in the final evaluation textbox.
