MAT Queues Report

The Queues report is designed to give facility administrators all the data they need on queues to ensure that the process is as time efficient as possible and to identify any areas that need improvement. These details include an overview of average queue times by location and queue type, time spent by patients in each window queue, and total time spent by staff members when dispensing MAT medications. 

Required Permissions: Super Admins, Records Admins, and users with the Manage Reports feature can create queue reports. Users with the View Report feature can view existing reports but cannot make changes.

Create the Report

  1. Open the Reports tab and click New Report. mceclip0__3___1_.png
  2. Select Queues for the report type.

  3. Enter your reporting parameters.blobid0.png 
    1. Report Name
    2. Template: Select Visits
    3. Sort Direction: Select Ascending or Descending for the sorting order. 
    4. Date Range: Select a date range for this report. Start Date/End Date is only available when the Custom date range is selected. Note: The Current Census option pulls data from all active patients on your current census. 
    5. Criteria: Use this drop-down to determine which patients are included in the report based on the date range selected. 
      • Admission Date: Pulls data from charts admitted during the specified date range. 
      • Discharge Date: Pulls data from charts discharged during the specified date range. 
      • Census: Pulls data from the charts that were in the census during the specified date range. 
      • Pre Admission: Pulls data based on the charts that were in pre-admission status during the specified date range. 
      • Updated At: Pulls data based on the charts that were updated within the specified date range.  
      • No Show: Pulls data from charts where patients were marked as No Show during the specified date range. This option is only available for MAT facilities.  
      • Expected Patients: Pulls data from patients who are expected in the facility for the date range based on the scheduled days on their insurance authorization. 
    6. Selection: Choose Patients with MR (admitted), Patients without MR (not admitted), or All Patients from the drop-down list. 
    7. Determine who can edit the report using the Editable by radio buttons. 
      • All: The report can be edited by any user who has access to it. 
      • Owner: The report can be edited by the report's creator or a Super Adminwho has a direct URL to the report. 
    8. Identify who can view the report using the Viewable by radio buttons. 
      • All: The report is available under Public Reportsfor all users who have access to Reports. 
      • Owner: The report is available under Private Reportsfor the current user, or by using a direct URL. 
  4. Click Continue to select which fields are included in your report. blobid1.png
  5. Once you click Continue, the system will allow you to select the Location(s) and the desired Queues from the drop-down menu options. Note: Super Admins can configure the available Queues options in Settings > Queues.blobid2.png
  6. Use the Data Fields Selection to include all the fields you'd like to see on the report, such as MR Number, Full Name, Location, etc. You can select any tab located on the left-hand side menu and include any field based on your preference.blobid3.png
  7. The order of the fields selected here is the order in which the fields will display on the report. Click on the [drag] indicator and drag to reposition as needed.
  8. Click on the Run Report button at the bottom of the page to view your results. 

Review Report Details 

Once the report runs, it will display all the patients and fields that meet the report parameters. Click on the image to expand.

  • The top section includes the report name, created on date and time, template used, date range, and facility location(s).

  • The Report Average (minutes) section displays a summary of the average time (in minutes) spent by patients in each facility queue, displaying the average Waiting, Processing, and Total Time spent in each queue (previously configured by the facility super admin) from check-in to check-out.  blobid7.png
  • The last section of the report is broken down by Patient.mceclip2.png
    • The first row of the report displays the data field options previously selected. In this example, we chose the Full Name, MR number, Patient ID, and Age. 
    • The report will automatically include tracking data such as queue name, visit date, check-in at (check-in time), and check-in by (staff member). The Processed At time field is triggered when a user clicks on the Start button in the queue. The report also displays the check-out time, along with the staff members who processed the patient, the amount of time waiting, time processing, and the total time the patient spent at the facility.   

Exporting MAT Queue Reports  

At the top of the report, you have the following action buttons:

  • Update Date Range: Click on this button to make changes to the selected date range.   
  • Edit Report: Click on this button to make changes to the filters as desired.   
  • Export to XLSX/Export to CSV: Use these buttons to export the data to XLSX or CSV by clicking on the desired export option.     
  • Refresh Data: Click on this button to refresh the data in real-time.
