MAT Inventory Transactions Report

The Inventory Transaction Report allows the users to review recent transactions and provides extensive filter flexibility so that you can obtain the exact data you need.  

Required Permissions: Super Admin, Records Admin, and users with the Manage Medication Inventory feature can create this report. 

Inventory Transactions

Let's review the available filter options within the Inventory Transactions tab. 

  1. Select a specific location before creating a report and click Inventory in the header.  
  2. Next, choose the Transactions tab.blobid1.png
  3. Click on the Medication field and add one or more medications as needed.blobid2.png
  4. In the Inventory Type field, select Facility Inventory. MAT Medications are Facility Inventory only, so Patient Inventory isn't relevant to this report type.blobid3.png
  5. Next, specify the Transaction Type based on the data you are looking for (e.g., Received, Dispensed, Spillage, Med Count, etc.).  
  6. Multiple Transaction Types can be included at the same time in this search. Find the complete list of types and their definitions below.
    • Received: Medication accepted into the Facility or Patient Inventory. 
    • Dispensed: The amount of medication given to patients 
    • Spillage: The amount of medication recorded as spilled in the inventory. 
    • Med Count: Transactions that were manually added to bottles to specify the physical count of the medication. 
    • Transferred In: The amount of medication transferred into a bottle. 
    • Transferred Out: The amount of medication transferred out of a bottle. 
    • Transfer to Another Location: The amount of medication transferred to another location within the Master Instance.   
    • Refill: Replenished supply of medication (only available for Patient Inventory). 
    • Add: Quantity of medication added to the current bottle (only available for Patient Inventory). 
    • Return to Inventory: The amount of medication returned to the facility inventory. 
    • Return to Manufacturer: The medication is returned to the manufacturer and the reason is recorded.
    • Return to Reverse Distributor: The medication leaves the facility and is tracked as returned to the reverse distributor.
    • Set In Use: Bottles set in use by a staff member. 
    • Set Not In Use: Bottles available to be set up in use by a staff member  
    • Waste: The amount of medication recorded as wasted in the inventory screen 
    • Disposed: Discarded transactions manually added to the bottles.  
    • Spilled Dispense: Dispensed transactions marked as spilled. 
    • Waste Dispense: The amount of medication recorded as wasted by the re-dispense functionality. 
    • Close: The medication bottle has been closed in the system. 
    • Open: The medication bottle has been opened in the system. 
    • Unit Dispense: The amount of medication dispensed from Unit Inventory. Note: This is only available when Unit Inventory feature is enabled in MAT Settings.
  7. Select one or more Patients to search by, if needed.
  8. After you have selected your criteria, enter a date and time range. Select the date from the calendar and adjust the time using the sliding bars if necessary. Click the Now button in the calendar to report the current date/time. Click Done to complete.

  9. Click on Advanced Search for additional filter options, including:mceclip0.png
    • Strength: Enter a specific medication strength. 
    • Rx/Serial Number: Enter a specific Rx or serial number.     
    • Performed By: Filter by one or more users who performed the transaction.   
  10. Once you have added the desired option(s), click on the Search button. blobid8.png
  11. If the report doesn't return the results you're looking for, click Clear All Filters to remove any previously selected options and try a different set of filters.    

Review the Report 

This section provides the facility Inventory Transactions based on the selected filters. You can update the report results by changing the filters selected and sorting your results by clicking on the report column headers.

Clicking on the hyperlinks allows you to retrieve inventory transactions and review activities in detail.  

  • Click on the Medication field to review all transactions related to that Medication.
  • Click on the Transaction type to view the individual Transaction details. 
  • Click on the Patient to open their chart. 

Medication Transactions

If you click on the medication, the system will open another window.mceclip3.png

This window allows you to review the medication transactions.

  1. The top of the report contains the Medication Name, remaining quantity, and the staff member who opened the bottle.
  2. Below that is the Medication Information: Name, route, dosage form, strength, lot number, serial number, expiration date, and replenish quantity. blobid11.png
  3. The action button allows staff members to add transactions, reconcile, close a medication, transfer in a bottle, and manually dispense medication. blobid12.png
  4. You can click on the transactions completed and the system will take you to the Transaction Medication Details window to review the entry even further. blobid13.png
  5. In this window, you can find additional transaction details including medication, staff member, time stamps, and the patient signature.  blobid14.png
  6. Results can be exported to CSV files by clicking Export to CSV. mceclip4.png
