Templates: Schedules

Schedule Templates allow you to select any of the available Group Sessions to build a treatment schedule. You can assign one or more schedules to a patient based on their treatment needs. 

Let's review how to create a new Schedule.

  1. Open Templates and choose Schedules.mceclip0.png
  2. Click New Schedule. mceclip1.png
  3. Enter a name for your schedule, and click Create Schedule.mceclip2.png
  4. Complete the following fields.mceclip5.png
    1. Enable: Check this box to make the Schedule available for assignment to patients.
    2. Patient Process: Select which tab in the patient chart will allow you to assign this schedule. Note: This feature is hidden for organizations using the new Scheduler. See more information below. 
    3. Locations: Select a Location. For master instances, this means the schedule will only be available in the selected location and accessible only by users with access to that location. For users in a single instance, the location selected is not enforced. Any user with the appropriate permission can start the session and any patient within the instance can be added. 
    4. Group Sessions: Select all applicable group sessions using the checkboxes. Important: Only sessions present and enabled in the same location as the schedule will display. 
  5. Click Save Schedule.

Schedules and the Scheduler

If your organization uses the new Kipu Scheduler, you'll notice that a few of the options have changed when setting up Schedules.

  • The is no auto-save on the page. Please save any changes made by clicking Save.
  • Because Schedules are assigned to patients directly from the Scheduler, you'll no longer need to select a Patient Process tab. The Patient Processes drop-down has been removed.mceclip4.png
    • Schedules are now assigned to the patient directly from the Scheduler.
  • If a schedule is already assigned to a patient and a new occurrence is added, e.g., a new Sunday appointment, the patient will automatically receive an appointment on the scheduler for the new occurrence. 
    • If an occurrence is removed, any appointments scheduled for that occurrence will be automatically canceled going forward.
  • Additionally, once a Schedule is assigned to an active patient, you cannot delete or disable the Schedule template. You'll notice that the delete option has been removed and the disabled option is grayed out. Once all patients using that schedule have been discharged or removed from the Schedule, the delete button will become available. mceclip3.png
