Settings: Notifications

Notifications allow you to configure automated in-app (toast) and email notifications activated by specific events in the EMR. Notification events cover a wide range of conditions like ensuring that your UR team doesn't miss an important update to a client’s coverage, your medical team is alerted when a patient’s CIWAs/COWS scores increase, and your providers are informed when a new lab or medications order is placed on their behalf. 

This guide focuses on how to configure Notifications for your instance. For information on notification alerts and how users can manage their received notifications, check out this article.  

Notification Setup

Super Admin users can configure Notifications for your organization. Important: Notifications are location-specific and users with a master instance will need to configure notifications for each location. There are a few tools that make this process easier. Let's review.

  1. Click on your initials and select Settings
  2. Open the Notifications tab. mceclip0.png
  3. Select a Location (users in a master instance only).
  4. Click New to add a notification. mceclip1.png
  5. Use the Select Event drop-down to choose the activation event.mceclip2.png
  6. Some events will have a configurable Condition that appears next to the event once selected. Choose when you'd like the notification to activate. mceclip4.png
  7. You can edit the prefilled event Name.mceclip5.png
  8. Only notifications Active toggle turned on will be enabled. You can disable a notification using this toggle at any time. 
  9. Edit Start Date, if desiredmceclip7.png
  10. Enter End Date if you'd like this notification to expire on a specific date. 
  11. Select a Severity level that determines the assigned color: Informational (blue), Warning (yellow), and Critical (red).mceclip8.png
  12. Add Recipients (users who should receive the notification) using any combination of the following options:

    • Select specific Users
    • Select groups by Role(s) and Exclude users within the role, if desired
    • Select member(s) of the Care Team, if applicable
    • Choose Special Recipient Options (Ordering Provider, Group Session Leader), if applicable

  15. Select notification delivery type(s):
    1. The notifications panel is the default for all active notifications
    2. Enable or disable a pop-up Toast
    3. Enable or disable Email and customize Email Subject and Email Body.

Exclude
If you select by Role or Care Team but there are people who don't need that notification, you can expand the list of Users populated by selecting the carrot. This shows everyone included and allows you to use the "Exclude" button to remove them from receiving this notification specifically. This way you don't have to select by User and manually add person by person for the Recipients.

Reviewing Notification History

To review the notification's edit history, click on the History icon.mceclip19.png

From the pop-up, you can review who made the edits and what was updated.

Copying Notifications Between Locations

If you are setting up notifications across several locations (in a master instance), you can create your notifications in one location and copy them to your other locations. 

  1. From the Notifications tab, click on the Copy icon next to the notification you want to share with your other locations. mceclip13.png
  2. Select each location from the pop-up and click Copy Notification. mceclip14.png
  3. Notifications will automatically be copied into your other locations as Inactive. 
  4. To activate, open the other location. mceclip15.png
  5. Click on the Active Notifications drop-down and select Inactive Notifications. mceclip16.png
  6. Use the toggle to enable all copied notifications. mceclip17.png
  7. Repeat for each of your locations.

Available Notification Types

The Kipu EMR offers the following notification types. Some notifications may not be available in your instance if your organization doesn't use the related feature (e.g., VOBGetter notifications). Please review this list of available Events and Conditions:

A patient has been unenrolled from the outcomes program by the system or EMR user (configurable); details include patient and unenrolled program name. Clinical

The patient’s attendance status in Attendance Tracker changed to Absent or Present (configurable); details include patient, previous status, and new status.

General

CIWA-Ar Score

The patient’s CIWA-Ar score is within a specified range and/or changed within a specified range (configurable); details include patient and score. Medical/Labs
CIWA-B Score The patient’s CIWA-B score is within a specified range and/or changed within a specified range (configurable); details include patient and score. Medical/Labs
COWS Score The patient’s COWS score is within a specified range and/or changed within a specified range (configurable); details include patient and score. Medical/Labs
Discharge Date Changed The patient’s discharge date is added, updated, or removed; details include the patient, previous date, and new date. Administrative

Signer added to evaluation form; details include patient and form name.

The notification can be customized to notify only the added Signer.

General

Group Session Incomplete

Group session started and incomplete (previous day; configurable by In Progress or Pending Review status); details include group session name and topic (if any), scheduled time, current status, and group leader name(s).

The notification can be customized to notify Group Session Leader(s).

Clinical

Group Session Not Started

The group session was not started after a specified number of hours (configurable up to 24 hours); details include the group session name and scheduled time.

Group Session Signer Added

New signer added to the group session; details include group session name.

Notification can be customized to notify only Added Signer.

Insurance Added

New insurance was added to the patient’s facesheet.

Insurance Authorization Added

New insurance authorization was created on the patient’s facesheet.

Insurance Authorization Review Date

The review date for the patient’s authorization is today, tomorrow, or within the next 31 days (configurable); details include the patient's name and review date.

The patient’s authorization status changed to Approved or Denied (configurable); details include the patient, previous status, and new status.

The portal user (patient, guardian, or guarantor) has revoked a consent form; details include patient, user's relation to patient (if applicable), and the document name.

The Portal user (patient, guardian, or guarantor) signed a document or completed an outcome assessment; details include patient, user's relation to patient (if applicable), and document name.

Scheduled report generation failed; details include Konnector name and error message (if applicable)

VOBGetter Status

VOB eligibility check was performed for the patient and the status is Active, Inactive, or Error (configurable); details include patient and eligibility status.

Billing/UR
Vital Signs Abnormal

The patient’s recorded vital signs are outside the normal range specified in Settings > Instance; details include patient and date recorded.
