I Accidentally Entered an Email in the Wrong Patient’s Chart and Invited them to the Portal

Issue

I accidentally entered the wrong email into a patient's chart and invited them to the Portal. How do I disconnect the email from the account and set up the correct one?

Environment

Kipu EMR, Patient Portal, Roles: Super Admins, Features: Manage Users, Manage Portal Accounts

Solution

If the patient/contact has completed the portal registration and logged in to the portal, they might have seen unintended PHI and it is considered a PHI breach. Follow your facility’s guidelines for PHI exposure. 

  1. From your initials, click Manage Users.

  2. Open the Portal Accounts tab. This tab shows both Patients and Contacts by default.

  3. Filters: Use the available filters or search bar to narrow down your patient/contact list.

  4.  Locate the desired patient, and click on the Edit icon to open their Portal Account Details page.

  5. Click on the Portal Accounts tab and disconnect this portal user from the wrong chart by clicking on the disconnect icon.
  6. Return to the facesheet and ensure that the correct email address is listed for the correct patient/contact.
  7. Perform Steps 5 and 6 for each affected patient.
    • Important: This will NOT delete or remove portal users. The portal user will remain in the system and can be linked to the correct patient(s) later.
  8. Once all details on the facesheet are corrected, click Invite to Portal. The patient/contact will need to set their password again to connect the correct chart.
    • Important: This correction will not update the portal user’s name, so you will continue seeing the wrong patient’s name. This is not a PHI breach, it is only the wrong display name.
  9. Change the portal user’s name in the portal user account.
