Financial Reports: Zoom Telehealth Usage

Track your per-minute Zoom usage with the Telehealth Usage financial report. This report provides an estimated cost per session. 

Note: Charges are per session and per user ($.02/minute/per user), however, charges don't start until 2 or more participants join the meeting. This report only includes completed meetings and can take up to 60 minutes after the meeting end time for the session to appear on this report. 

Generate the Report

Super Admins, Records Admins, and users with the Manage Reports feature can build the following report:

  1. Open the Reports tab and click New Report.mceclip0__3___2_.png
  2. Select Financial for the report type.

  3. Enter your reporting parameters 
    1. Report Name
    2. Template: Select Telehealth Usage.
    3. Sort Direction: Select Ascending or Descending for the report order.
    4. Date Range: Select a date range for this report. This field pulls data based on the meeting's actual start date (not the scheduled date). Start Date/End Date is only available when a Custom date range is selected.
    5. Criteria: Choose the kinds of results you would like to see from the drop-down list.
      • Meetings: Shows details about the meeting itself, but does not show specifics about the participants.
      • Meetings with Participants: Shows details about the meeting and the participants, including data like login information used, when they joined, when they left, and their meeting minutes. If a user logs in and out several times, they will have an additional line in the report for each period.
    6. Determine who can edit the report using the Editable by radio buttons.
      • All: The report can be edited by any user who has access to it.
      • Owner: The report can be edited by the report's creator or a Super Admin that has a direct URL to the report.
    7. Identify who can view the report using the Viewable by radio buttons.
      • All: The report is available under Public Reports for all users with access to Reports.
      • Owner: The report is available under Private Reports for the current user, or by using the direct URL.
  4. Click Continue.
  5. Scroll to the end of the page and click Run Report to view your results. This financial report does not allow you to choose additional reporting parameters. mceclip0.png
  6. If you have chosen to show details about the participants as well, your results will look like this. 16.png
  7. The Meetings report contains the following data points:
    • Actual Start Time: The date/time the host started the meeting (not the scheduled start time).
    • Actual End Time: The date/time the host ended the meeting (not the scheduled end time).
    • Actual Duration: The total duration of the Zoom meeting based on the actual start/end times.
    • Host Name: The first and last name of the EMR user who was selected as a meeting host.
    • Host Email: The email listed for the EMR user who was selected as a meeting host.
    • Location: The location where the Zoom meeting was scheduled.
    • Meeting ID: The meeting ID assigned by Zoom.
    • Number of Participants: The total number of attendees.
    • Total Minutes: This is the combined time that all participants (including the host) spent in the meeting pulled from Zoom. Zoom rounds all meeting durations up to the next minute.  
    • Estimated Charge: This is the estimated cost based on the Total Minutes multiplied by $.02.
  8. The Meetings with Participants report contains the same data as the Meetings report but also includes the following:
    • Participant: The name of the participant.
    • Email Address: Their email address.
    • Start Time: The time they joined the meeting.
    • End Time: The time they left the meeting.
    • Minutes: How many minutes they were in the meeting.
  9. You can export this report to Excel or CSV to calculate the total estimated charge for the selected date range.

  10. If you have chosen Meetings with Participants the XLSX export will have two tabs - one for meetings and one for participants. The CSV export will have two separate files that will be zipped together.

Single Location

To run this report for a specific location in the master instance, select the Location from the header and click Refresh Data.mceclip2.png
