How Do I View Results for a Single Status in a Report That Covers Many Items?

  • Updated

Issue

I have a report that covers many statuses, but I only want to view the results for one.

Environment

Kipu EMR, Reports, Roles: Super Admin (all), Records Admin (public, billing, outcomes), and Biller (billing Reports Only), Features: Manage Reports, View Reports

Resolution

Certain filters in the reports options will pull more than one item, for example, if you pull a clinical report you will see all the Incomplete types (Pending Review and In Progress) but you won't be able to filter down further in the system. In order to view more refined results, for example, only incomplete sessions for a specific time, you will need to export the report and view it in Excel.

  1. Select the Reports tab.
  2. If you know that a report has all the elements you need, click on the report name to open it. Otherwise, click on the edit icon to modify it.
  3. Once the report is run, click the Export To XLSX button to download the report.
  4. Depending on your browser, a pop-up or other notification may appear once the download is complete, allowing you to open the file directly.
  5. Otherwise, locate your Downloads folder and open the file from there. If your file has been downloaded but is not in your Downloads, use your computer's search function to search by file name, or check your computer and browser settings to see where downloaded files are saved.
  6. Open the Excel file. If you see the following warning, click the Enable Editing button.
  7. To filter data, begin by selecting the triangle, where Column A and Row 1 meet, to highlight all data in the report.
  8. Select the Data tab in the toolbar.
  9. Next, select Filter.
  10. There are now drop-down options for every data column. Use these drop-downs to filter out data you don't want to view without removing it from the report.
