Quickly Access Scheduler Communications Sent to Clients  

View the exact messages sent to clients for both appointments and group sessions with ease. Each sent communication appears as a clickable hyperlink within the Communication tab of any appointment, allowing you to quickly review the details sent to your clients. This feature simplifies tracking and ensures transparency in your communication strategy, enhancing client engagement and service quality.

Scheduler Release 1.7 - February 29, 2024

New

  • Create Appointment Communications for Group Sessions: Super Admins and users with Manager Scheduler Settings can now create custom appointment communications for group sessions and group session schedules under Settings > Scheduler > Appointment Communications. Click here for more detailed information. The following items have been added as part of the appointment communications update:

    • Customized Appointment Communications for Appointments and Group Sessions: The new Appointment drop-down allows users to assign a communication to Appointments and/or Group Sessions. The new Appointment Type and Group Schedules fields allow for further customization within the selected appointment type. Click here for more detailed information.

    • Create Appointment Communications specific to Telehealth or In Person appointments: Use the Communication Type field to specify if a communication is meant to be tied to an In Person or Telehealth appointment. Click here for more detailed information.

    • Time-Based Appointment Communications set to a max of three months: Time-based appointment communications can now only be created three months in advance. If a user attempts to set a time-based reminder more than three months in advance, a warning will appear at the point of save. Click here for more detailed information.
  • Location-Specific Communication Details: The Communication setup in Scheduler Preferences now displays new fields for Location Address and Reply to Phone Number. This information will be pulled from Location Settings and will automatically reflect updates made there to improve clarity and accuracy.   • View the Actual Communication Sent to the Patient: Each communication sent to a patient now appears as a hyperlink in the Communication section of the appointment or group session and, when clicked, will display the actual communication sent, allowing users to see exactly what the patients can see. You will have options to copy the text to paste elsewhere and resend the communication. Click here for more information on managing appointment communications. 

  • Appointment Type Color to show on Entire Appointment Tile: The whole Appointment tile will now appear in the color selected for the appointment type in template settings on all Scheduler calendar views. Check out this article for instructions on setting up (or editing) appointment-type colors.

  • Client Chart Scheduler Auto-Refresh: When a group session schedule or occurrence is dropped or deleted from a client chart in Scheduler, the screen will automatically refresh and future occurrences will no longer appear.

Multiple Group Session Segments - February 26, 2024

Multiple Group Session Segments is now available!

Using this feature, staff can accurately document when patients come and go from a single group session as many times as needed. The Multiple Group Session Segments feature is automatically enabled and requires no additional permissions.

  • Billing: Removed the legacy Transmit Pending Claims button. Please contact support if you have items stuck in the Pending status.

  • Billing: Fixed an issue where some ancillary outpatient billable items showed the Level of Care Name instead of being blank.
  • Billing: Fixed an issue where pre-admission charts with authorizations linked to a Level of Care that did not require documentation would generate billable items before an MRN was documented on the chart.
  • Insurance: Fixed an issue for re-admitting patients without chart tracker that prevented an insurance’s type/priority from copying correctly.

  • Billing: Improved performance on the billing report for clients that have a large number of locations.
  • Billing: Implemented a new Status column for the Billed and Do Not Bill reports which provides more accurate status information on the item that was transmitted. Errors will also appear in the Status column instead of the Claim ID column. For more information, check out this article.
  • Billing: Updated the the Billed and Do Not Bill reports to support sorting on more data elements. These changes apply to the Billing tab of a patient's chart, which can be found here. However, for a walkthrough of billing functions, click here.
  • Billing: Upgraded the Editing pop-up in Location Settings. For more information, click here.
  • Billing (Avea): We have added support for Plan Type and Plan Class if configured in Avea.
  • Outcomes: The outcome assessment Recovery Assessment Scale 24-item (RAS-24) is now available. For a complete list of available outcome assessments click here.

  • Billing: Fixed an issue for clinical LOC for private pay or non-insurance patients that prevented the correct level of care billing data from being applied to the billable item.
  • Billing: Fixed an issue that prevented RD=OFF levels of care from working with clinical LOC for private pay or non-insurance patients.
  • Billing: Fixed an issue that caused the wrong LOC to stay on a billable item if the clinical LOC is deleted for private pay or non-insurance patients.
  • Billing: Fixed an issue if there were two clinical LOCs with the same start date to have tiebreaker logic to choose the more recent logged date/time for private pay or non-insurance patients.
  • Billing: Fixed an issue that caused a 500 error when changing the default sort order on the Diagnosis Codes tab on the patient’s billing chart.
  • Care Manager: Fixed an issue where text entered in the Care Manager modal fields didn’t wrap correctly and pushed the action icons off-screen.
  • Chart✓: Fixed an issue where some Chart✓ items were in the Not Created status even though the forms were created in the chart already.
    • Note: If you change the version of the evaluation or consent template, you need to update Chart✓ template as well. Additionally, templates with identical names are still different templates, so to make sure your Chart✓ works reliably, we strongly recommend using unique form names.
  • Evaluations: Fixed an issue where copy-pasted text was inserted at the end of the text box for some clients using Macs (e.g., MacBooks/iMacs).
  • Evaluations: Fixed an issue where the Populate with Forms functionality skipped Legacy Evaluations.
  • Facesheet: We have added the current year to the Date of Birth year drop-down to improve the experience for our clients with newborn babies in treatment.
  • Group Session Templates: Fixed an issue where some group session templates could not be disabled even after all active clients had been removed from the occurrences.
  • Inventory: Fixed an issue where NDC numbers were not being included when the inventory was exported to a .CSV file.
  • MAT Callbacks: Fixed an issue where multiple callback dates were generated for the same patient.
  • Notifications: Fixed a broken link in some emails sent to EMR users.
  • Physician Review Dashboard: Fixed an issue that caused some users to receive an error when signing orders from the dashboard.
  • Portal (EMR): Fixed an issue where the user’s search criteria did not update when switching between packages under Settings > Portal > Portal Packages.
  • Quick Search: Fixed an issue where patient chart results did not display in the correct order. The latest chart now shows as expected.
  • Reports: Fixed an issue with the Group Session Report where the Signed By column displayed the time zone for the instance instead of for the location.
  • Reports: Fixed an issue where a single evaluation report for a standard evaluation form with treatment plan items returned an error.
  • Settings: Fixed an issue where the Portal tab in Settings was available even though the Portal feature was turned off.
  • Templates: Fixed an issue where, in some cases, a form was visible in the Add Form dialog but not on the Templates list.
  • User profiles: Fixed an issue where the Primary Licence Number field did not allow special characters.

  • Portal: Fixed an issue where Portal users were not able to reuse the Update button in the forms.

  • Evaluations: Fixed an issue where the Height field in the evaluation form was not sized appropriately, blocking the user from entering or viewing the value.
  • Facesheet: Fixed an issue where tags were not saving correctly on the facesheet.
  • MAT Queues: Fixed an issue where the Queues Display was not working correctly on Smart TVs and similar devices.
    • Note: Due to outdated web browser technology on some Smart TVs, the announcement feature may not work. We recommend using supported up-to-date browsers, and connecting a laptop to a TV display instead of using a built-in TV browser.
  • Portal: Fixed an issue where portal users could not edit consent and evaluation forms.

  • PDF Packages/Casefiles: We added the ability to customize the patient information that is displayed on the top of every page in the PDF package or casefile. In addition to the default Full name and MR number, Super Admin can now include the patient’s date of birth, birth sex, active insurance names, and related policy numbers.
