Scheduler Release 2.2.5 - August 29, 2024

New

  • Activities on Schedule Templates will automatically be ended whenever a Location is disabled: Whenever a user disables any locations in Settings > Company all associated activities in the Schedule Templates will automatically end. This update will save time since users no longer need to manually remove activities from each template. For more information on this tab, click here.
  • Appointment Status now has its own column when exported to List View: Previously the Appointment Status was included in the Details column, which made filtering more difficult. Now the Appointment Status has its own separate and easily filterable, column.
  • Assignment History has been renamed Assignment Log: This is a name change only. The functionality has not changed. Users can still access the full assignment creation and change history. For more information on the group sessions area, click here.

  • My Schedule opens to the Edit Resource Schedule from the Profile tab: Users only need to click on their Resource Schedule from the Profile Tab which saves time and allows users to access and edit their Resource Schedule as needed. For a walkthrough of the My Schedule tab click here.
  • Certain Automated Appointment Statuses remain enabled: The Scheduled, Rescheduled, Draft, and Waitlist appointment statuses are now permanently enabled. This change has been made because disabling these statuses used to remove them from view, causing appointments in the disabled statuses to be missed.   • Billing: Customers using integrated billing can no longer delete insurances already used to bill data to their RCM system. This update improves data quality and ensures a higher level of confidence without an audit. The update will also reduce the troubleshooting necessary when reviewing historical data.

13.13.0.0 - August 26, 2024

New

  • Billing: We have added our next billing provider auto-population option called “Authorization” for billable levels of care. When selecting this entry a new optional field will appear on the level of care authorization window and the user chosen in that dropdown will be the user that will populate on any per diem items for that authorization.   • Billing: Our final planned billing provider auto population option for billable levels of care is now available. This update allows you to set up levels of care so that they auto-populate the billing provider based on who is rendering the services. If this option is selected when billable per diems are generated or updated, the system will compare all completed services and automatically set the billing provider if one provider completed all the services. Facilities that bill this way no longer need to use the manual workflow to match clinical services to billing providers. Billers can now work by exception to find and fix true documentation errors which will result in a higher first pass rate and save time.

  • Billing: Added a Do Not Bill Reason search parameter to the Do Not Bill Report to allow much more refined usage of auditing data. For more information, click here.
  • Billing: Added the ability to search by the standard payor ID (blue in the results) on the payor setting screen. This update will alleviate the need to search in a test patient’s facesheet before finding and adding the correct payor in payor settings. For more information on adding payors, click here.
  • MAT (Pump Medication): Added “Add of Range” setting for pump medications in Settings > MAT > Location Settings > Pump Medication. The value entered in the settings will alert you when the dose in the MAT order has surpassed the maximum range based on the previous dose. For more information on MAT medications, click here.

Fixed

  • Action Orders: Fixed an issue where action orders with a one day duration did not transfer to the next day.

  • Billing: Fixed an aesthetic issue in payor rules for the Add Modifier type that accidentally displayed non-supported extra fields.
  • Billing: Fixed an issue where users sometimes couldn’t delete levels of care in settings.
  • Billing: Fixed a caching issue for payor rules that occurred if a user changed the locations multiple times and kept running the billing report in between changes. It sometimes resulted in the payor rule running for the wrong location.

  • MAT Pre-Pour: You can now export data from the Current Unit Inventory and Past Unit Inventory pages to CSV. For more information on the pre-pour workflow click here.

Fixed

  • Medication Reports: Data retrieval performance has been improved for medication reports with large numbers of entries.

  • Outcomes: Fixed an issue where delays occurred when enrolling patients in an outcome program or preparing an assessment. This issue usually occurs because of a higher server load. Now, if assessments are not generated immediately, please refresh the page.

eRx DrFirst/Rcopia Special Release - August 21, 2024

  • eRx DrFirst/Rcopia: Fixed an issue where quick orders created using the drug database required additional updates in Rcopia before submission to the pharmacy.

New

  • Billing: Due to popular feedback, we have fine-tuned when the message “Missing codes and missing claim format” appears in response to a billable item missing a level of care authorization. This update should help the user pinpoint exactly how to resolve the error. For more information on billing errors, please check out this article.

  • Inventory: Medication orders and inventory will now be linked by their codes from the drug database as well as by name. The system will first look for an exact name match if available, and will look by codes next. Medications not selected from the drug database will continue matching by exact name only.   • Settings: The defunct Medications tab has been removed from Settings.

Fixed

  • Billing: Fixed an issue with one of the new optional warnings where customers using “Service Authorizations” sometimes received a false warning.

13.12.0.0 - August 15, 2024

New

  • Billing: Updated the “Patient insurance not found” message to "Insurance has been deleted from Payor Settings" so that it explains why the warning appears on the billable report. For more information on warnings and errors, click here.
  • Billing: Updated the case management bundling payor rule to include a minimum required number of clinical services rendered directly. This setting will now automatically be factored into the bundling logic eliminating the need for billers to expand their billable items to check which services were rendered.   • Inventory: The Transactions tab has a new Notes column which displays text entered in the notes field. For more information on the Transactions tab, check out this article.

Scheduler Release 2.2.4 - August 13, 2024

New

  • View all Assigned Group Sessions in Chronological Order with Combined Schedule: With the new Combined Schedule button, users can open a print-friendly list of all assigned group sessions, group session schedules, and ad hoc group sessions chronologically displayed by day from the patient’s chart. This update is useful for clients who print out a patient’s group session schedule since it will provide a clear and simple view of all the patient’s scheduled sessions.   • Updates to the View Appointment Screen: We have made the following changes to the View Appointment screen:

    • Added a Refresh button which allows users to refresh the screen and see updated statuses for re-sent appointment communications without having to refresh the entire website and reopen the screen.

    • The History tab is now called the Change Log, but otherwise is unchanged

    • Updates have been made to streamline the look and feel of the View Appointments area.

  • Group Session Notes Added Signers will now appear in Scheduler: You can now add additional signers to a group session. This change will allow clients to capture the time spent by each provider in the group session.

    • When signers are added to a group session leader note they will appear on the Scheduler appointment card in parentheses following the name of the group session leader.
    • They will also appear listed in the Leader column under Group Sessions in Progress/Completed.

  • eRx: Fixed an issue where the “Continue on discharge” message didn’t display in the Kipu order after being submitted via Rcopia.
  • eRx (Rcopia): Fixed an issue where medication dose units that exceed 30 characters prevented orders from being transmitted to Rcopia. You will need to correct dose units in Rcopia for orders that have already been transmitted before the they can be sent to the pharmacy.
  • Reports: Fixed an issue where some group sessions had duplicated signatures in CSV and XLS exports.
  • Portal: Fixed an issue where the company logo was blurry on the portal login page.

  • Billing: The new search parameter on the billing report allows you to hide warnings and errors, so that you can submit clean claims is out of beta. You can now see the new Warnings and Errors dropdown option in the search parameters section. For more information on billing reports, click here.

  • Billing: Fixed an issue that caused an erroneous red error on the billing report for users utilizing the Clinical LOC workflow.

  • Chart✓: We’ve optimized the background process that syncs the status of a Chart✓ item with the relevant form's status so that it runs more quickly and uses less memory.
  • PDF Packages/ Casefiles: We have consolidated the Med Log section of the PDF Packages/Casefiles so that all Med Logs are listed together, instead of generating a page per day. This update should significantly decrease the size of the generated PDF files.

Fixed

  • PDF Packages/Casefiles: Fixed an issue where some additional customization (e.g. page numbers, chronological sorting) did not work for PDF Packages and Casefiles.
  • PDF Packages/Casefiles: Fixed an issue where creating or editing a PDF Package template resulted in a 500 error for some clients.
